Division : Pre-Arrival Settlement Services Program : Active Engagement & Integration Project (AEIP) Employment Type : Permanent Full-Time (35 hours per week) Number of Positions : 1 Compensation: $31.78 - $32.71 per hour About the Position : The Mentoring Coordinator is responsible for supporting AEIP through tasks that include, but are not limited to, coordinating and delivering the Mentoring Program and Canada Connect activities; recruiting, onboarding, and supporting volunteer mentors and facilitators; facilitating mentor-mentee connections; coordinating Canada Connect sessions and volunteer engagement activities. This position is also responsible for program administration, participant follow-up, data management, reporting, and quality assurance. Working closely with the Partnership & Communications Manager, the Mentoring Coordinator helps ensure that mentoring and Canada Connect activities are delivered in accordance with program guidelines, best practices, and contractual requirements while achieving program targets. Reports to: Partnership & Communications Manager Key Duties & Responsibilities: Mentoring Program Coordination Coordinate the delivery of AEIP's virtual mentoring program from referral through program completion. Recruit, screen, onboard, and support volunteer mentors. Match mentors and mentees based on professional background, career goals, and program needs. Conduct mentor and mentee orientations and provide ongoing support throughout the mentoring relationship. Monitor mentoring progress through regular follow-ups and address participant questions or concerns. Ensure mentoring activities are delivered in accordance with program policies, service standards, and contractual requirements. Canada Connect Coordination Coordinate and deliver Canada Connect networking sessions in collaboration with provincial partners and volunteer facilitators. Coordinate scheduling, logistics, communications, and participant registration for Canada Connect activities. Monitor participant engagement and collect feedback to improve future sessions. Partnership & Community Engagement Develop and maintain relationships with professional associations, community organizations, and volunteer networks to support mentoring activity. Conduct outreach to recruit volunteer mentors and expand community engagement opportunities. Collaborate with internal and external partners to support program planning and service delivery. Program Administration & Reporting Maintain accurate participant, volunteer, and program records using internal systems and databases. Prepare monthly statistics, reports, and other documentation required for program monitoring and contractual reporting. Track program outcomes, volunteer engagement, and service targets. Quality Assurance & Continuous Improvement Ensure mentoring and Canada Connect activities comply with organizational policies, privacy requirements, and IRCC contractual obligations. Monitor program quality and participant satisfaction, identifying opportunities for improvement. Assist in developing and updating program resources, templates, guidelines, and operational procedures. Participate in program planning, evaluation, and continuous improvement initiatives. Other Duties Apply a Gender-Based Analysis Plus (GBA+) lens and promote diversity, equity, inclusion, and accessibility throughout program delivery. Perform other related duties as assigned by the Partnership & Communications Manager. Education, Training and Experience: Bachelor's degree in Social Sciences, Human Services, Education, Business Administration, Communications, or a related field, or an equivalent combination of education and experience. Minimum of 2 years' experience coordinating volunteers, mentoring, community engagement, or settlement programs. Experience working with immigrants, refugees, and diverse communities. Experience building and maintaining partnerships with employers, community organizations, professional associations, and other partners. Experience planning and coordinating workshops, networking events, or virtual programming. Experience with volunteer recruitment, onboarding, and relationship management is an asset. Job Skills and Abilities: Excellent written, verbal, and interpersonal communication skills. Strong organizational, planning, and project coordination skills. Ability to manage multiple priorities and meet deadlines in a fast-paced environment. Strong partnership engagement and relationship-building skills. Ability to work independently and collaboratively within a team environment. Experience facilitating virtual meetings, orientations, workshops, or networking events. Excellent attention to detail and commitment to high-quality service delivery. Proficiency with Microsoft Office 365, Microsoft Teams, Zoom, and web-based databases. Ability to prepare reports, analyze program statistics, and maintain accurate records. Ability to speak and write a second language may be considered as an asset in order to meet diverse clientele and operational needs.
