The Academic Services Administrator is a crucial position within the Muma College of Business. The position serves as the College’s lead scheduler across campuses for both the undergraduate and graduate academic schedule, assists with putting new curriculum changes into the university’s curriculum management system Curriculog, and serves as the college’s Maxient academic integrity lead. As the lead scheduler, will be responsible for managing and coordinating the development and creation of each terms schedule of classes. Provide systems training and support to branch campus schedulers and is the central main point of contact for Muma Directors and Leadership, Registrar’s office, Facilities and Innovative Education for all Muma COB scheduling needs. Muma Lead Scheduler-Manages and leads the collaboration with Muma School Directors and scheduling coordinators on the branch campuses to coordinate workflow across the schools ensuring adherence to dates, deadlines, policies and procedures. Prepares the overall planning and implementation of the master scheduling process, which includes, developing and maintaining the master scheduling timeline for Muma COB, and builds, develops, and maintains the consolidated master schedules across campuses and programs. Serves as the centralized point of contact for the School Directors, Registrar’s Office, Innovative Education and other units on scheduling processes and procedures. Provides ongoing training to all campus schedule coordinators. Evaluates and recommends improvement in the purpose, design, and implementation of the consolidated scheduling processes and procedures. Monitor and report on scheduling trends related to space needs and student demand. Compiles, maintains, analyzes, and prepares reports on data related to activities regarding the course schedule, fees, attributes, restrictions, pre-reqs, new course numbers and SCH and disseminate to branch schedulers, fiscal personnel and Muma leadership. Block out room assignments and enter course, section, day, time, room and cap of all courses offered by the Tampa campus in BANNER and 25Live each semester and ensure accuracy of all course listings, including comments, fees and fee codes drop/add dates, all restrictions, pre-requisites saved seats, fees, course descriptions and other courses specifics by auditing all course information against the university course catalogue. Enter instructor name, rank, pay plan, FTE, share of workload and FAST chart field string, Attribute, for all faculty assigned to courses each semester. Cancel courses, change room assignments and adjust enrollment as needed for various departments. Adjust the restrictions on certain sections at certain points in the registration cycle to allow student populations in to courses that were restricted before that time from special program courses. Assist Muma faculty with curriculum and course proposals by entering updates into the university program/course proposal system Curriculog. This ensures courses and programs are built with proper restrictions and pre-requisites as well as providing system support to the faculty. Serve as the Muma college’s Maxient academic integrity lead, responsible for building faculty reported academic integrity cases in the Maxient system, sending violation letters to the student involved, and following up on the appeal process when necessary. Document Imaging: Administer the scanning, indexing and verification of student records using document imaging specialized software, AppXtender, to the Banner student records system for advisor or other USF staff view and use. Using scanning equipment, documents are imaged from paper form or electronic documents in email or other file types are converted to software friendly file format and imported to AppXtender and then imaged. Supervise 1-2 Federal Work Study students to perform these duties. Other duties as assigned This position requires a Master’s degree in education or a field of study related to the academic program, or a Bachelor’s degree in those same fields with a minimum of two years of experience.
