About The Role

The Administrative Support position within the Department of Language, Culture, and the Arts (LCA) is a key role responsible for providing comprehensive administrative assistance to ensure the smooth operation of the department. Reporting directly to the LCA Administrative Specialist, the successful candidate will handle a variety of administrative tasks including managing correspondence, coordinating meetings and events, supporting faculty and staff with scheduling and personnel documentation, and assisting with financial transactions. This role requires a proactive individual with excellent communication skills, strong organizational abilities, and the capacity to manage multiple priorities independently. The position offers an opportunity to contribute to the academic and administrative excellence of the department while working in a dynamic, diverse, and collaborative environment.

Qualifications

  • Associate degree or higher
  • More than 4 years of progressively responsible administrative support experience
  • High-level professional interpersonal skills and a service-oriented attitude
  • Proficiency in Microsoft Office Suite and Google Suite
  • Excellent written and verbal communication skills
  • Ability to handle confidential information discreetly
  • Strong organizational, analytical, and problem-solving skills
  • Ability to prioritize tasks and manage multiple deadlines effectively
  • Demonstrated initiative, adaptability, and independent judgment
  • Effective communication skills in a culturally diverse environment

Responsibilities

  • Serve as the first point of contact for faculty, staff, students, and visitors, providing professional and courteous support
  • Assist the Department Administrative Specialist with daily administrative and operational activities
  • Compose correspondence, prepare documents, and coordinate communications to faculty and students
  • Answer inquiries via email and phone, and manage electronic and hard copy filing systems
  • Support course scheduling, classroom coordination, and academic administrative processes
  • Coordinate departmental meetings, special events, and logistics such as space arrangements, catering, and audiovisual needs
  • Manage departmental budgets, monitor expenditures, and process financial transactions including procurement and reimbursements
  • Assist with faculty and staff onboarding, including international faculty documentation and visa processes
  • Coordinate Lecturer Employee Organization (LEO) appointments, renewals, overloads, and summer employment actions
  • Prepare personnel documentation and Personnel Action Requests (PARs), and maintain faculty personnel records
  • Support faculty and staff with travel arrangements, expense reporting, and reimbursements
  • Maintain and update the department website in collaboration with communications staff
  • Develop and distribute departmental announcements, promotional materials, and event invitations
  • Provide administrative support for study abroad programs and other departmental projects
  • Coordinate candidate interviews, campus visits, and related travel logistics
  • Assist with onboarding activities for new faculty and staff to ensure a smooth transition into the department and university community
  • Perform other administrative duties and special projects as assigned to support departmental goals
