About The Role
The Administrative Specialist (Administration Generalist 2) is a vital mid-level position responsible for supporting daily operational activities within the program team. This role involves managing administrative tasks such as tracking procurement statuses, supporting subcontractor and customer service activities, maintaining organizational trackers and rosters, conducting research, and preparing routine documents. The ideal candidate will work with moderate independence, executing established processes while contributing to process improvements. The position requires a proactive approach to learning new systems and practices, supporting leadership, and ensuring the smooth functioning of administrative functions aligned with company policies and mission objectives.
Qualifications
- Minimum of 3 years of relevant experience with a bachelor’s degree in a related field, or 1 year of relevant experience with a master’s degree, or a high school diploma/equivalent with at least 7 years of relevant experience
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Strong organizational, analytical, and problem-solving skills
- Excellent verbal and written communication skills
- Ability to manage multiple priorities and communicate effectively with leadership and team members
- Customer service experience and office support skills
- Willingness to learn new computer systems and administrative tools
- Ability to operate with a high level of professionalism and attention to detail
Responsibilities
- Represent the organizational unit on administrative matters, acting as a liaison for internal and external stakeholders
- Recommend, interpret, and implement company and internal administrative policies and procedures
- Perform a broad range of administrative tasks across functional areas such as finance, human resources, logistics, and research and development
- Assist in preparing budgeting, project scheduling, and statistical reports as required
- Learn and adapt to new computer systems and tools to enhance productivity
- Take ownership of learning company business practices and seek opportunities for skill development
- Identify opportunities for process improvements and contribute to operational efficiencies
- Support procurement, subcontract activities, and customer service functions as needed
- Perform research and prepare routine written documents and reports
- Coordinate and maintain organizational trackers, rosters, and documentation
- Assist senior leadership and team members in administrative duties to ensure operational effectiveness
- Perform other duties as assigned to support program and organizational goals
