Description * Administers and maintains the agent appointment system (computerized tracking). May include development, testing and installation coordination of the system and any system modifications. * Interacts with management and line personnel on assigned projects. Projects may involve products and electronic systems. * Communicates across departmental lines as appropriate on each assigned project. * Researches, documents and communicates to agents and agencies for resolution of payment issues and agent appointment problems. * Audits and processes appointment requests, State appointment forms, and agent contract materials, including agent licenses and proof of Errors and Omissions insurance. Monitors and coordinates all agent changes, licensing and renewals. * Participates and works with the State Department of Insurance on audits of agent information and compliance with State regulatory requirements. * Ensures the agent appointment process is administered effectively in full compliance with rules and regulations of applicable Departments of Insurance. * Audits all Enrollment Lotus Notes and Agent Information Changes (AIC’s) or other processes/systems to validate agent information and agent’s eligibility for payment. * Processes non-standard agent agreements, including verifying the commission rate, creating, testing and loading into the system. * Responds/resolves inquiries from Agents and various TRG departments. Inquiries are commission payment problems, interpretations of State regulations, agent transfer of business and/or policy interpretations. Responds to an average of thirty (30) calls per day. * Coordinates establishment and maintenance of policies and procedures related to agent appointments and the payment/bonus process. * Represents the department on project teams and conducts numerous research and analysis questions and resolutions. * Documents and communicates to the appropriate individuals reporting, processing, and/or procedural changes resulting from assigned projects. * Assists in project implementation including development of training materials and educational presentations, development and distribution of written notification to staff and all people related to the project. * Provides written and oral status reports on all assigned projects, including problem identification and resolution, changes in milestone dates, and all related project activity in an accurate and timely manner. * Coordinates with system programmers to provide appropriate testing of all systems. This includes development of test cases, system testing, problem identification, and reporting. * Assists in the establishment and maintenance of the agent education process. * Troubleshoots system problems, submits service requests and trouble sheets when necessary and assures service requests are properly completed. * Processes buy/sell agreements between two or more agents/agencies, including working with all parties to ensure what portion of the business is being sold and that the transaction is legal. * Reviews contract language and assists in any necessary rewriting. * May coordinate distribution of broker newsletters (Washington). * Monitors and reports employee agent licensing (Washington). * Record keeping of 5500’s/Schedule A for bonuses and non-monetary payments (Washington). * Assists other team members as necessary in order to support department goals and objectives. * Ensures agent commissions for all corporations are paid in an accurate and timely manner. Calculates commissions as necessary. Skills & Qualifications REQUIRED skills: Microsoft Office, including Excel, Teams, data entry, basic office functions. * Bachelor's Degree in a business related field or equivalent combination of education and work experience * Ability to communicate effectively, both written and orally * Working knowledge of various computer applications, including Microsoft Office * Demonstrated ability to operate very effectively in a team setting * Ability to coordinate multiple projects simultaneously in an office environment with a high level of activity * Knowledge of health insurance products * Ability to work with minimal supervision * Ability to type 40-50 words per minute * Knowledge of Corporate and State policy involving appointment of insurance agents preferred Candidates MUST be current residents of one of the five states: Oregon, Washington, Idaho, Utah, or North Dakota Job Type & Location This is a Contract position based out of Portland, OR. Pay and Benefits The pay range for this position is $20.00 - $25.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
