We are seeking a detail-oriented, adaptable AR and Collections Specialist to oversee invoicing, accounts receivable, document management, and general accounting administration for a US-based client. You will manage customer billing workflows, review job tickets, code transactions in Sage, and organize electronic job records in Dropbox. Designed for career growth, this role will expand into job costing, Accounts Payable (AP), ADP labor allocations, and state sales tax reporting.

Your Impact

• Invoicing & Billing Administration: Review completed job tickets and supporting documents, generate customer invoices, submit billing via customer portals or email, and maintain invoice tracking logs.

• Accounting & Job Management: Set up and maintain jobs in Sage, enter AR and AP transactions, monitor AP inboxes, code vendor invoices, correct job setup errors, and reallocate job costs as needed.

• Document Organization: Monitor receipts email inboxes daily, file transaction receipts into appropriate Dropbox job folders, and maintain accurate electronic job archives.

• Progressive Scope (AP & Job Costing): Expand responsibilities into Accounts Payable processing, entering weekly ADP payroll/labor allocations into Sage, and supporting payroll workflow automations.

• Sales Tax & General Ledger: Assist in preparing monthly state sales tax reports, executing tax filings, and recording related accounting entries in general ledger accounts.

What You Bring

• The Experience: Proven background in Accounts Receivable (AR), customer invoicing, bookkeeping, or general accounting operations within a fast-paced environment.

• Software Competency: Practical proficiency with Microsoft Excel and strong adaptability to navigate multiple accounting platforms. Direct experience with Sage, Dropbox, or ADP is highly preferred.

• Industry & Domain Knowledge: Experience with Accounts Payable (AP), job costing, labor allocation, or supporting field service industries (e.g., Construction, HVAC, Plumbing) is a distinct advantage.

• Compliance & Sales Tax Familiarity: Understanding of US sales tax reporting workflows or state filing procedures is preferred.

• Core Competencies: Exceptional attention to detail, strong organizational habits, proactive problem-solving ability, and excellent written and verbal English communication skills.
