The Role The Assistant to the Chief Accounting Officer (CAO) serves as a long-term, intuitive, and trusted partner, providing high-level support to the Chief Accounting Officer (CAO) as well as the Head of Tax, and other senior accounting leaders. Requiring exceptional emotional intelligence, the ideal candidate anticipates needs, is resourceful, navigates fast paced environments, and utilizes acute attention to detail to ensure seamless operations and a clear path for leadership. Responsibilities Strategically manage the CAO’s complex calendar across global time zones, acting as a critical gatekeeper to prioritize scheduling requests while protecting executive’s after-hours time and maintaining sensitivity and awareness of our domestic and international teams’ schedules. Cross-functional collaboration with internal and external stakeholders, leaders, and assistants across the agency, to coordinate meetings, agendas, accounting-related logistics, and any other ad-hoc tasks Act as a strategic partner and advisor to CAO, utilizing high discretion and tact to keep the CAO informed to facilitate and enable critical decision making Manage highly sensitive departmental matters with absolute discretion, protecting confidentiality while navigating complex situations with exceptional tact and professionalism. Cultivate strong, proactive partnerships across internal teams to serve as the definitive, trusted resource for optimizing in office and remote workplace operations. Take ownership of department morale and recognition initiatives, overseeing the end to end planning, logistics, and budgeting for team all-hands meetings, internal events and executive off sites Manage monthly expense reporting for reconciliation and reimbursement for CAO and Senior Accounting leadership, ensuring strict adherence to corporate travel and expense compliance guidelines. Coordinate complex international and domestic travel arrangements, to include air, ground, and hotel accommodations, while delivering seamless itineraries for senior leadership Manage the preparation of outcome focused meeting agendas, capture and distribute clear action items, and assist in creating high quality presentation decks and materials with a strong attention to detail. Manage day-to-day in office needs for CAO & accounting leadership, including coordinating catering logistics, booking conference rooms, troubleshooting basic AV and video conferencing setups for seamless meetings. Qualifications Four-year college degree A minimum of 8 to 10 years of experience supporting C-level; Prior experience in accounting and/or Entertainment supporting C-Suite executives is a plus Demonstrated ability to exercise exceptional judgment, critical thinking, and proactive problem solving under pressure Proficient in Microsoft Office (Outlook, Teams, Word, Excel, PowerPoint, OneDrive), Concur, Workday, SAP, Docusign, Adobe Sign Highly systematic with a proven ability to manage competing priorities simultaneously Meticulous attention to detail and accuracy, with a proven track record of delivering flawless execution of executive support for CAO & senior leadership High level of professional sophistication and maturity required to interact directly and confidently with prominent internal and external stakeholders Proven experience providing comprehensive administrative and strategic support to multiple executives & senior leaders simultaneously within a fast paced corporate environment Possess a high degree of tact and discretion, seamlessly navigating the parallels between corporate and agency dynamics while handling sensitive organizational matters with absolute confidentiality Location This role is currently hybrid, based out of the Los Angeles office. Compensation The base hourly rate for this position is in the range of $30.00 - $40.00. This position also is eligible for benefits and discretionary bonus.
