The incumbent will be responsible for crafting and managing internal communications, managing administrative functions for executive leaders and interacting and overseeing execution of various operational projects. This role will work with multiple internal teams, executives and Contractors. The role will be responsible for understanding desired goals and outcomes of meetings or projects and then working with the team to determine appropriate resources, processes, and other materials necessary to complete the project in the desired timelines with high quality. Must be able to research, prioritize, and follow up on incoming assignments, issues and concerns including those of a sensitive or confidential nature. Determine appropriate course of action, referral or response. Provide a bridge for smooth communication between leaders and internal departments. Schedules, plans and ensures smooth implementation of large scale meetings both domestically and internationally. Assists in coordinating the agenda of senior management team meetings, offsites and staff meetings. Maintains all necessary documentation in an organized and easily accessible manner. Assists with production of presentations including PowerPoint and Excel formats by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics. Supports all travel needs (domestic & international) by booking, supporting and changing travel schedules as necessary (visas included). Maintains appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
