Position Summary Under the supervision of the Chair, Dept. of Pediatric Surgery, The Associate Director provides leadership and oversight for fellowship as well as operational management of the advanced training programs within the Department of Pediatric Surgery, with a particular focus on the Partner One Global Strategy (POGS) portfolio, and international academic collaborations. In this leadership role, the incumbent develops the administrative framework for fellowship and advanced academic training programs and, in partnership with the Program Director, contributes to program strategy and its successful implementation. Furthermore, they will develop high-value partnerships and initiatives that align with the Faculty of Medicine and Health Sciences – McGill University and The Montreal Children’s Hospital – McGill University Health Centre (MUHC) and PartnerOne Global Surgery (POGS). The role serves as a key advisor for POGS, departmental leadership, MCH Surgical Heads and POGS governance bodies. The incumbent will contribute to long-term strategy, donor engagement, and the advancement of global surgery education. The Director serves as a key liaison between fellows, academic units, and administrative offices. Key Responsibilities The Associate Director works in collaboration with the Associate Director, Administration to ensure compliance and alignment with Faculty postgraduate medical education policies and guidelines; The Associate Director develops relationships with the following key stakeholders to develop and deliver this new program while providing leadership on the following program-related advisory and steering committees ensuring effective governance, regulatory compliance and oversight of program reporting: Faculty and Fellowship Program Directors Departmental and hospital administrative offices University partners (McGill University postgraduate medical education – PGME, CME/CPD, Academic Affairs, HR, Finance, International Office) External local and international academic and institutional partners, as required Supervises an Administrative Coordinator, responsible for various day-to-day coordination activities and administrative duties. Implements and oversees POGS program; In collaboration with the Surgical Division Chiefs in the hospital, ensure monitoring and achievement of key milestones such as recruitment cycles and training schedules Act as expert advisor to fellows, providing critical program information Management of workshops, seminars, academic events, and evaluation activities. Identify needs and ensure that appropriate activities are organized and delivered. Build relationships with donors, ensuring effective and sustainable engagement In collaboration with the Chair (Chief Surgeon and the Surgical Lead), help ensure training meets accreditation, compliance and reporting requirements Establish robust performance metrics and outcomes tracking, demonstrating academic impact, supported by continuous quality improvement and program evaluation through data collection, analysis, and reporting Lead fellowship recruitment processes, including application coordination, eligibility review, interview scheduling, and documentation In collaboration with the Surgeon in Chief and the Surgical Lead, develop and maintain transparent and equitable recruitment policies and procedures Build and sustain accurate and auditable records of recruitment and selection processes Develop and ensure coordination of onboarding activities in collaboration with hospital and university offices Lead collaboration with POGS partners, international institutions, and academic collaborators Establish processes and systems supporting fellows throughout the full training lifecycle: pre‑arrival, onboarding, training progression, completion, and transition In collaboration with POGS’ team, develop communication tools and mechanisms that ensure fellows receive timely academic and program information and appropriate referrals for logistical or institutional processes Prepare fellows’ academic progress, ensuring effective and accurate program documentation and records Work closely with Clinical Program Directors or Department Leadership, to manage or escalate complex program issues Participate and provide needed reports and information in program‑related committees (e.g., advisory or steering committees) and POGS Program compliance and reporting requirements with university, hospital, and accreditation policies and standards Lead alumni engagement initiatives for fellowship training programs to strengthen long-term partnerships, mentorship, and program development. Responsible for the delivery off academic events (e.g., fellows’ days, webinars, CME/CPD activities) Oversee the development of post‑training follow‑up and impact tracking to support academic reporting and program improvement Develop and lead impact measurement frameworks, including academic outcomes metrics, to be tracked and reported Leverage data to inform strategic decisions and continuous improvement Develop mechanisms to monitor and ensure accurate academic records, databases, and program documentation Oversee grant, donor, or partner reporting related to education and training activities, as required; monthly reporting to POGS executive committee Other Qualifying Skills and/or Abilities Master’s degree or higher, in health sciences, education, public health, health administration, or a related field. Demonstrated experience in academic program coordination, fellowship or residency programs, or postgraduate education Strong organizational, project management, and documentation skills. Excellent written and verbal communication skills. Ability to work collaboratively with faculty, trainees, administrators, and external partners. Proficiency with standard office software, databases, and learning or academic management systems Experience supporting fellowship, residency, or other advanced professional training programs. Familiarity with curriculum development, program evaluation, and academic quality assurance. Experience working with international trainees or academic partnerships. Knowledge of academic health‑care environments and postgraduate medical education. Experience with data tracking, reporting, and program assessment. Strong academic orientation and commitment to excellence in education and training. Detail‑oriented, organized, and capable of managing concurrent academic priorities.
