SUMMARY Reporting to the Executive Director, Associate Director of the Admissions Office is a vital part of the successful operations and continuous growth of the Faculty of Medicine and Health Sciences The incumbent will oversee the operations related to the delivery of holistic, multi-criteria selection processes for the MDCM and Med-P programs in both Montreal and Outaouais campuses; RESPONSIBILITIES Builds and manages a strong Admissions team by ensuring adequate information flow and specialized training. Provides staffing and staff supervision; oversees work distribution; prepares budget and monitors expenditures; allocates resources such as space and equipment; ensures effective oversight of essential IT tools used in admissions (e.g. Student Recruitment Management application (Slate)); ensures the provision of quality and uninterrupted service to future students and general public. Promotes cross-functional teamwork with other Faculty units. Counsels Chairs of MDCM and Schools Admissions Committees and relevant Sub-Committees chairs on the operational effects of committee recommendations/decisions. Ensures the Faculty goals related to recruitment and quality of student body are met while considering and/or applying provincial government policies and programs. Acts as advisor to the Assistant Dean on goals and objectives and ensures effective execution/implementation of recommendations. Manages the MDCM and the Schools admissions processes; oversees the implementation of selection criteria and validation of selection processes and tools in conjunction with the Chairs of the Admissions Committees. Acts as a Resource person to Chairs of Admissions Committees and administrative staff involved in admissions activities in other health professional programs with a view to promoting shared best practices, selection tools and resources. Facilitates and contributes to evaluation of impact of recruitment strategies and selection criteria on quality of the student body using specific methodology and tools (academic results, number of repeats and dismissals, behavioral/professional issues, success in postgraduate training, etc.). Reviews and implements work policies and procedures; reviews timeline of admissions decisions to promote speedy and competitive decision-making vis-à-vis other universities. Reviews, manages and supervises the administration of the interview process, working closely with the Steinberg Centre for Simulation and Interactive Learning (SCSIL). Oversees the Admissions Office ensuring the highest possible level of quality service to internal and external clientele. Interfaces with parents, alumni and sponsors regarding Admissions decisions; handles complaints. Ex officio member of several Faculty of Medicine and Health Sciences committees Represents the Admissions Office at University-based, provincial and national admissions meetings. Liaises with Enrolment Services, First Peoples’ House, Student Accessibility and Achievement Office and Scholarships and Student Aid Offices, and other University units, to advance collaborations on admissions-related dossiers. Implements marketing and publicity measures; overseas the design and preparation of promotional material, design/maintenance of web site and electronic application. Represents the Faculty of Medicine and Health Sciences professional programs at university admissions administration committee, as needed. Travels to and participates in recruiting activities in various outlying regions of Quebec; other Canadian provinces; United States. Liaises and networks with CEGEP counselors; obtains feedback on University and Faculty policies, information material, Admissions Information in order to improve quality of service. Hosts and presents at Faculty bilingual Information Sessions for future students and parents and McGill Open House. Prepares planning proposal, annual budget and reviews in conjunction with the Executive Director. Networks with Directors of Admissions of three other Quebec Medical Schools as well as Canadian Faculties of Medicine. EDUCATION & EXPERIENCE Undergraduate degree (Management or related field), and Five (5) years' related experience OTHER QUALIFYING SKILLS AND/OR ABILITIES Demonstrated knowledge of process and procedures related to medical admissions. Experience working in Admissions, including student advising/counselling and making/conveying difficult decisions on acceptances and rejections. Demonstrated management skills in the leadership, supervision, and motivation of teams and individuals at various levels. Proven ability to lead and manage diverse workgroups and projects. Demonstrated ability to plan and to adapt resources, processes and environment to new and changing needs in support of continuous improvement and streamlining services. Superior analytical, problem-solving skills, as well as excellent judgment. Must have the proven ability to navigate in an environment which operates under legal constraints. Planning and organizational skills. Strong written and verbal communication skills, including effective presentation skills. Knowledge of the University, Hospital and the Health Care System, as well as a commitment to higher education. Advanced skills in Information Technology, including experience with and commitment to the use of technology in admissions, as well as the ability to make decisions based on analytical and quantitative information. Master’s degree an asset. Must be fluently bilingual: English and French, spoken and written.
