Asymchem Company Information and Social Media Job Overview: The Associate, Exhibition Operations will support the Marketing Events team in coordinating exhibition activities across the Americas with reasonable supervision. This role will assist with conference research, exhibitor information management, exhibition display supply ordering and shipping, material storage, cross-team collaboration, project tracking, and accurate recordkeeping. This position is well suited for an eager, detail-oriented entry level candidate who is interested in learning exhibition operations and growing within the marketing and/or events field. Duties & Responsibilities: Research conference and abstract submission information Review and process exhibitor manuals, including key deadlines, requirements, forms, and relevant show information Create and maintain exhibition information sheets using details gathered from exhibitor manuals and related show resources Create and maintain exhibition material and shipping production calendars and timelines Order electrical, carpet, furniture, etc. for all exhibitions when appropriate Organize and maintain exhibition equipment and shipping materials Organize and maintain appropriate inventory levels for sales materials and promotional items across domestic business locations Coordinate and manage all exhibition shipping logistics, including updating and tracking the progress of all items Upload certificates of insurance (COIs) and related documentation to exhibitor portals as required Upload receipts and memos to expense tracking system when requested Update expense sheet with invoice and payment information when requested Update overarching annual conference schedule information sheet when requested Complete ad hoc team research tasks Complete ad hoc team admin tasks Maintain all work within internal project management system, Hive Provide continuous improvement and enhancement to processes and workflows Work independently as well as with direction from supervisor Perform other duties as required or assigned Experience Requirements - Knowledge, Skills, & Abilities (KSAs): Bachelor’s degree required; 0–2 years of relevant experience in exhibition or trade show management, event coordination, project management, marketing, communications, or another field with transferable experience preferred High attention to detail Strong project management and organizational skills with a demonstrated ability to keep multiple projects on track simultaneously Microsoft Office proficiency (Excel and PowerPoint essential) Strong verbal and written communication skills Ability to thrive in a fast-paced entrepreneurial environment Team player with an enthusiastic and collaborative approach Minimal travel if needed to support group operations Freeman, GES, and/or another exhibitor portal knowledge a plus Hive and/or another project management system knowledge a plus Adobe Creative Suite experience a plus Invoicing experience a plus Benefits: Day 1 Coverage for Medical, Vision (Co.
