As a Bid Coordinator – Site Improvement, you’ll drive fast, reliable bid coverage across multiple U.S. markets—connecting the right subcontractors to the right scopes so Project Managers can make confident award decisions. As a nationwide developer and general contractor, they focus on simplifying every stage—delivering each project with consistency, quality, and precision. Location: LATAM- Fully Remote Your Mission: Day to Day Responsibilities Run bid coverage for 8–15 active site improvement projects at a time Source and qualify subcontractors nationwide for site improvement trades Achieve 2 bids per scope (3 preferred) within a 12-day bid cycle Outreach to 8 vendors per scope , with 2 structured follow-ups per vendor Track vendor intent, availability, and constraints—early escalation when coverage is at risk Review proposals for scope alignment, inclusions/exclusions, and gaps (no pricing negotiation) Request clarifications to ensure true “apples-to-apples” bids Maintain clean, detailed Smartsheet logs and upload all bid files consistently Confirm and document vendor compliance (license, insurance, workers comp) Perform OSHA Establishment Search checks and log factual notes Deliver concise PM summary emails outlining coverage status, scope differences, and flags Your Toolbox: Skills to be Successful Strong spoken and written English (calls, emails, texts) Construction procurement or bid coordination experience (preferred) Relentless follow-up discipline and comfort with vendor outreach Sharp eye for scope detail and proposal review High-level Smartsheet skills and data hygiene Professional, confident vendor communication Ability to manage multiple deadlines without missing details Your Perks: What's in it for you Full-time, remote/offshore role Flexible working hours outside the standard 8:00 AM to 4:30 PM Central Time Clear rules, defined KPIs, and structured processes High-impact role with ownership over bid coverage outcomes Work across diverse U.S. markets and project types No negotiating, no vendor awards—pure coordination and execution Why Adaptive Teams?
