We are a physician-owned cardiology and heart-rhythm specialty practice in Los Angeles, California. You will work closely with our practice manager for day-to-day guidance and have direct access to the physician-owner—no agency or middleman.
This is a full-time, long-term opportunity with growth potential as the practice expands. We use modern cloud systems and AI-assisted workflows, and we invest in training the right person.
Who We’re Looking For

You must be exclusively available to our practice during scheduled working hours. This position cannot be combined with other clients, employment, or side work during your shift because our patients require live telephone coverage.
The Role
You will be the voice of our practice and a central part of our medical back office.
Patient Phones — Primary Responsibility
• Answer incoming patient calls professionally in English and Spanish.
• Assist with scheduling, messages, and appropriate call routing.
• Make outbound calls for appointment confirmations, recalls, and follow-ups.
• Take complete and accurate messages for the practice manager, physician, and clinical team.
• Participate in daily check-ins and task coordination with the practice manager.
• This is a nonclinical position. You will never provide medical advice.
Medical Back-Office Responsibilities
• Process prior authorizations for procedures, imaging, and medications.
• Verify insurance eligibility and benefits.
• Work with US payers such as Medicare, Anthem, UnitedHealthcare, and others.
• Request and track outside medical records, faxes, and laboratory results.
• Accurately index documents into patient charts.
• Prepare charts before patient visits.
• Coordinate and track incoming and outgoing referrals.
Requirements
• Excellent spoken English: clear, confident, and professional when speaking with US patients. Spoken English will be evaluated first.
• Native or fluent Spanish.
• At least two years of experience in a US medical-practice back-office or patient-phone role, including equivalent remote experience.
• Hands-on experience with prior authorizations and US insurance eligibility verification.
• EMR experience is required. AdvancedMD experience is strongly preferred.
• Comfortable using Google Workspace, spreadsheets, cloud systems, and new software.
• Available full-time Monday through Friday during US Pacific Time business hours.
• Exclusively available to our practice during the scheduled shift, with no other clients or jobs during those hours.
• Quiet, private, and professional home workspace.
• Reliable high-speed internet with a tested backup connection.
• Reliable backup plan for electrical outages.
• Able to follow strict patient-privacy, confidentiality, and information-security requirements.
Schedule
Monday–Friday, 8:00 AM–5:00 PM US Pacific Time, including a one-hour unpaid meal break, for 40 working hours per week.
Because Colombia does not change its clocks when California does, the corresponding schedule is:
• 10:00 AM–7:00 PM Colombia time while California observes daylight-saving time.
• 11:00 AM–8:00 PM Colombia time while California observes standard time.
You must be able to work both seasonal schedules.
Compensation
• $9.00 USD per hour
• 40 paid working hours per week
• Payment every two weeks

Patient Privacy and Information Security
The selected candidate will work only through practice-approved systems and accounts. Requirements include:
• Multifactor authentication
• HIPAA and confidentiality training
• Private workspace where calls cannot be overheard
• No local downloading, printing, photographing, or personal storage of patient information
• No sharing of practice accounts or passwords
• Compliance with all practice privacy and security policies
