About the role


The Occupational Therapy Board of New Zealand (Te Poari Whakaora Ngangahau o Aotearoa) is the regulator for occupational therapists in Aotearoa. Their role is to protect the public by ensuring occupational therapists are competent and fit to practise, while supporting high standards across the profession.


They’re looking for an experienced Board Secretary to provide high-quality support to Te Poari and its Committees. Working closely with the Chief Executive, Board Co-Chairs and Committee Chairs, you'll play a pivotal role in ensuring the Board operates efficiently, governance processes run smoothly, and members have the information they need to make well-informed decisions.


This permanent role is 11.25 hours per week (1.5 days) and offers genuine flexibility. You can work your hours across the week by agreement and choose to work predominantly from home or from their Wellington CBD office. While the average commitment is 11.25 hours per week, the workload naturally ebbs and flows around the Board cycle. Some weeks, particularly leading up to and during Board meetings, will require additional time, while others will be quieter. Attendance at scheduled in-person Board meetings will be required.


What you'll do


As Board Secretary, you'll coordinate the governance cycle from planning through to follow-up, ensuring meetings are well organised, documentation is accurate and governance records are maintained to a high standard.


Your responsibilities will include:


  • Coordinating Board and Committee meetings from agenda planning through to final minutes
  • Preparing, reviewing and distributing Board papers and governance documentation
  • Managing BoardPro and governance records
  • Building trusted relationships with the Chief Executive, Board members, Committee Chairs and Executive Assistant
  • Contributing to the continuous improvement of governance processes and systems.


What we’re looking for


You'll be highly organised and self-managing, comfortable working independently and able to flex your hours to meet the Board's governance cycle. You'll also be a detail-oriented professional who understands the importance of good governance and enjoys working behind the scenes to help Boards operate effectively.


You'll bring:


  • Experience providing high-level governance support to a Board, committee or executive leadership team
  • A sound understanding of governance processes and Board administration
  • Exceptional organisational skills and the ability to manage competing priorities
  • Excellent written communication skills, including preparing high-quality agendas, Board papers and minutes
  • Professional, approachable and service-oriented, with highly developed relationship management skills
  • Strong judgement, discretion and the ability to manage confidential information
  • Experience using BoardPro or similar governance software would be an advantage.
