About the roleWe're a small US-based group running several companies — a product development agency, a media and events brand, and a handful of real estate holding entities. All of them are US-registered LLCs and S-corps, all of them bank with Mercury, all of them live in QuickBooks Online, and right now they're all bookkept by two founders who have better things to do.
We're hiring one person to own that entirely.
This is not a data-entry seat. You'll run the monthly close across every entity, produce the reporting, and — most importantly — tell us what you're seeing. If an entity's margins slipped, if a vendor is double-billing us, if something got miscategorized three months ago and nobody caught it, we want to hear it from you before we hear it from our CPA.
You'll work directly with both founders and with our outside CPA. Small team, no bureaucracy, and your work is visible immediately.
What you'll ownMonthly close across all entities
- Full-cycle bookkeeping in QuickBooks Online for [4–6] separate legal entities
- Reconcile Mercury bank and credit card accounts across every entity, plus merchant accounts (Stripe and similar processors)
- Categorize and code all transactions; chase down and document anything unclear rather than dumping it in "Ask My Accountant"
- Keep the chart of accounts consistent and clean across entities so the books are actually comparable
- Track intercompany transactions, owner draws, and distributions correctly
- Close the books by business day 10 each month
Reporting
- Produce monthly P&L, balance sheet, and cash flow statements per entity, plus a consolidated view
- Maintain class/location tracking so we can see profitability by client and by project
- Flag variances, anomalies, and trends — with a short written note on what you think is driving them
- Keep a running list of open items and answer "where does this stand" without us having to ask twice
US tax prep support
- Collect and maintain W-9s; prepare and file annual 1099-NEC/1099-MISC for contractors and vendors
- Assemble the year-end package for our CPA: trial balances, reconciliation reports, supporting schedules, fixed asset and depreciation detail
- Be the first line of response when the CPA has questions during filing season
- Keep receipt and documentation hygiene tight enough that an audit wouldn't be a fire drill
Communication and housekeeping
- Work day-to-day in Slack — this is where questions get asked, answered, and closed out
- Post a short written close update and a weekly status note so we always know where things stand
- Maintain vendor records and payment documentation
- Document your own processes so this role isn't a single point of failure
What we're looking forRequired — please only apply if you can point to specific experience here:
- 3+ years of full-cycle bookkeeping for US-based companies
- 2+ years with QuickBooks Online as your daily driver (QBO ProAdvisor certification is a plus, not a substitute)
- You've closed the books for 3 or more separate legal entities simultaneously
- You've reconciled 5+ bank and credit card accounts monthly for at least 12 consecutive months
- You've hit a day-10 close for 6+ consecutive months — or you can explain honestly why you couldn't and what you'd change
- Working knowledge of US GAAP fundamentals, accrual vs. cash basis, and how each flows into a US tax return
- Fluent professional English — you'll be on video calls and writing directly to both founders and our CPA
- Comfortable working async in Slack as your primary channel: clear written updates, fast response during overlap hours, no going dark
- Reliable high-speed internet and a backup plan for power or connectivity outages
Nice to have:
- Real estate or property accounting (mortgage escrow, capex vs. repairs, depreciation schedules)
- Experience with S-corp books: reasonable compensation, basis tracking, distributions
- Prior 1099 preparation and filing
- Hands-on experience with Mercury (or another US business banking platform with QBO sync)
- Agency, professional services experience
You'll do well here if- Messy books bother you personally, and reconciling to the penny is satisfying rather than tedious
- You'd rather ask one clarifying question up front than make an assumption and fix it later
- You proactively send status updates. Silence makes founders nervous; you know this
- You read a P&L and see a story, not a table
- You're comfortable owning something end-to-end without someone checking your work daily
- You handle confidential financial information with obvious discretion
