We’re looking for a curious and highly adaptable Business Operations and Projects Specialist to work directly with the CEO of a growing Australian healthcare organisation. In this role, you’ll support business operations, financial administration, reporting, systems improvement, and a range of strategic projects, with around 40% of your time focused on operational support and 60% on project-based work. This is an ideal role for someone who enjoys figuring things out, learns quickly, and is confident working through ambiguity and unfamiliar challenges. You’ll have the opportunity to take ownership of meaningful projects, improve the way the business operates, and grow into broader operations responsibilities over time. What You’ll Do You’ll be the kind of person who: Financial & Corporate Operations Prepare payroll data and conduct quality assurance checks prior to processing. Prepare draft invoices and support reconciliation activities. Assist with budgeting, forecasting, and financial planning activities. Prepare management reports and performance dashboards. Perform basic financial modelling and business analysis. Support HR administration and workforce reporting. Prepare reports, presentations, and business documentation. Projects & Continuous Improvement Support CRM rebuild and optimisation projects. Map, review, and document business procedures and workflows. Develop training curricula and learning materials. Support AI-enabled data analysis and reporting initiatives. Assist with AI-supported internal audit and compliance projects. Develop and maintain SharePoint sites. Support Microsoft 365 optimisation and workflow automation. Requirements What You Bring We’re looking for someone with: Financial literacy and experience in bookkeeping, accounting, finance, operations, or business analysis. Strong Excel skills, including Pivot Tables, XLOOKUP, INDEX/MATCH, data cleansing, and basic financial modelling. Strong Microsoft 365 capabilities, including Word, PowerPoint, Outlook, Teams, and SharePoint. Ability to quickly learn and adapt to new technologies, including Copilot, Claude, and CRM platforms. Excellent written and spoken English with strong communication skills. A proactive, ownership-driven approach with the ability to take responsibility for outcomes without requiring detailed instructions. Confidence in tackling unfamiliar tasks, solving problems independently, and identifying practical solutions. Strong interpersonal skills, with the confidence to communicate with managers and follow up for information when required. A curious, adaptable, and highly organised approach to managing varied responsibilities and priorities. Ability to break down complex problems into clear, manageable steps.
