Description This is a hands-on role, not a delegate-and-track-it one. You'll set the direction for our systems, but you'll also be the one in the CRM fixing the configuration, in the spreadsheet building the report, and on the call troubleshooting the network issue yourself. If you'd rather architect a plan and hand off execution, this isn't that job. How you'll work This role's real center of gravity is cross-functional. Expect regular, close collaboration with Sales, Marketing, Client Success, and Finance leadership, plus daily contact with employees across the company who need systems support. You're as comfortable in a budget conversation with a department head as you are heads-down in a SQL query. The key systems you’ll work in are: Sugar CRM and SugarAI SQL databases and reporting tools HubSpot Google Workspace (G-Suite) Plus Slack, Asana, Dropbox, and Bitdefender What you'll do Be the go-to owner for our CRM system: configure it yourself, keep it documented, and be the first call when something breaks. Manage the software and vendor relationships that keep the business moving: licensing, renewals, and hands-on day-to-day administration for the tools our teams use. Own our hardware lifecycle end to end, from setting up a new hire's laptop yourself to keeping our network and phone systems running smoothly. Build and run a real IT support process so employees have a clear, simple way to get tech help, and be the one who actually resolves the ticket. Lead and execute systems projects that improve how the company runs, from a cloud storage migration to rebuilding how we track and report on sales performance. Partner with teams across the company, sales, marketing, client success, and finance, to keep our data clean and our reporting trustworthy, writing the queries and building the reports yourself. Requirements What you bring About 5 years of experience in business systems administration, CRM administration, IT operations, or business operations. Hands-on experience administering a CRM platform, writing SQL queries, and managing SaaS vendor relationships. A knack for being the person who can talk systems with IT and strategy with a department head, in the same afternoon. A bias for doing the work yourself over delegating or ticketing it out, with a genuine interest in building good process and reporting along the way. You're based in or near Philadelphia and are comfortable with a hybrid in-office schedule. Location/Schedule This role is hybrid, based out of our Philadelphia, PA office. We work 3 days in-office and 2 days remote, with flexibility being key. Pop! Promos is a Philadelphia-based supplier of custom branded merchandise, sold through promotional products distributors across the country. Founded in 2011 on the idea that custom merchandise should be easy to get right ("Custom Made Simple" is still how we describe it today), we've been recognized as one of Philadelphia's fastest-growing companies and named to the Inc. 500 list. We're now looking for a Business Systems Manager to own the tools, systems, and data that our sales, marketing, and operations teams rely on every day.
