Health4Crew is a data-driven maritime healthcare company supporting seafarers and shipping companies through 24/7 medical assistance, proactive PEME review, case management and health-risk monitoring. We combine medical expertise, operational coordination and technology to improve seafarer care, reduce operational disruption and provide shipping companies with greater visibility over crew health risks.

The Role

We are looking for a highly organised and dependable Case Coordinator to manage the operational flow of medical cases from initial contact through to closure.

The Case Coordinator acts as the central operational link between vessels, crew managers, doctors and external healthcare providers. The role does not involve making clinical decisions. Its purpose is to ensure that doctors receive the required information and that all agreed actions, communications and follow-ups are completed accurately and on time.

The Case Coordinator works during an assigned operational shift. Outside these hours, routine cases are transferred to the next shift, while urgent operational matters are escalated by the duty doctor to the COO.

Key Responsibilities

• Open, assign and accurately document new medical cases in the Health4Crew platform.
• Collect the information and supporting documents required by the duty doctor.
• Coordinate communication between doctors, vessels, crew managers and external healthcare providers.
• Track follow-ups, tasks, deadlines, pending documents and agreed actions.
• Maintain clear and accurate case records throughout the case lifecycle.
• Ensure effective handovers at the end of each operational shift.
• Escalate delays, missing information, operational risks and sensitive cases according to company procedures.
• Support the coordination of shoreside appointments, referrals, medication delivery, repatriations and medical deviations when required.
• Ensure that client-specific communication and escalation procedures are followed.
• Confirm that all required operational actions have been completed before a case is closed.
• Support the COO with service-quality monitoring and the continuous improvement of operational procedures.

What We Are Looking For

• Experience in case coordination, healthcare operations, medical assistance, telemedicine, emergency coordination, maritime services or a similar operational environment.
• Strong organisational skills and the ability to manage multiple active cases and deadlines.
• Excellent written and verbal communication skills.
• High attention to detail when handling medical information and case documentation.
• Ability to remain calm, structured and professional in urgent or sensitive situations.
• Confidence communicating with doctors, seafarers, captains, crew managers and external providers.
• Very good command of English.
• Confidence using digital platforms, task-management tools and structured operational workflows.

Nice to Have

• Background in healthcare administration, nursing, medical assistance or emergency services.
• Experience in the maritime or shipping sector.
• Familiarity with telemedicine, medical referrals, PEMEs, repatriation or shore-side healthcare coordination.
• Experience working in an assistance centre or time-sensitive operations environment.
• Additional languages commonly spoken by seafarers.
