Reporting to the Manager, Fire Prevention and Preparedness, the incumbent will provide administrative and coordination support for activities related to the notice of violations and false fire alarms within the Corporate Fire Life Safety department at Toronto Community Housing Corporation. The incumbent will be required to work closely with key internal partners to ensure seamless and efficient delivery of services in a manner that aligns with TCHC's tenant-focused culture. Lastly, the incumbent will be required to work with a high degree of independence, using tact and good judgement in the communication and processing of information. What you’ll do Provide administrative and coordination support for the notice of violation and false fire alarm processes. Centralize intake and tracking of all notice of violations and false fire alarm reports. Liaise with key internal partners to follow-up on status of remediation activities. Conduct data analysis and prepare the notice of violation and false fire alarm reports. Maintain filing systems (hard and soft copy) to ensure records are current, orderly, complete, and accurate. Update the centralized electronic repository for the status of notice of violations and false fire alarms. Assist with development of policy and procedure documentation (e.g. process mapping). Identifies and makes recommendations to enhance service delivery. Centralize inquiries (e.g. telephone, e-mail, in-person) related to notice of violations and false fire alarms. Assists with administrative duties, which can include faxing, photocopying, scanning; and Undertake special projects and activities as required. What you’ll need Experience in an administrative position with an emphasis on front-line customer service Excellent interpersonal skills to deal courteously with applicants, staff, elected officials, external agencies and the general public Some familiarity with regulations and legislations governing social housing in Ontario, with the ability to learn about specific policies Ability to recognize situations that require intervention including racist behaviour, mental health issues and ability to refer to appropriate staff/agency Ability and sensitivity in providing respectful service to diverse populations (age, race, language, gender, sexual orientation, culture and disability) Demonstrated experience utilizing computer software packages such as, Microsoft Word, Excel, and database applications Must be able to work cooperatively as a team member and handle a high volume of work with minimum supervision Experience in preparing correspondences, memos, reports and letters Must be able to organize and prioritize work in a busy resource centre Some familiarity with a broad range of community services including Housing Providers Ability to facilitate groups in training workshops or public meetings Ability to troubleshoot basic technical What’s next Once you apply, we’ll review your resume and contact you if we believe your skills and experience will make you successful in the role.
