The Role The Client Specialist, Intake is the first point of contact for prospective clients and plays a critical role in delivering an exceptional customer experience. This position is responsible for scheduling appointments, answering inbound calls, completing intake verification, and ensuring potential claimants meet the firm's qualification criteria. Schedule appointments accurately and efficiently for prospective clients. Answer inbound calls professionally and resolve claimant questions and inquiries. Conduct outbound calls to complete intake verification and determine whether claimants meet the firm's established qualification criteria. Deliver exceptional customer service while maintaining professionalism and empathy in every interaction. Monitor and respond to SMS messages and email correspondence in a timely manner. Accurately document claimant information and maintain detailed records within company systems. Navigate multiple software applications, screens, and browser tabs simultaneously while maintaining accuracy. Collaborate with team members to ensure seamless communication and efficient workflow. Stay current with company procedures and quickly learn new technology and software platforms. Effectively prioritize tasks and manage time to meet daily performance goals and service standards. Ability to multitask and efficiently manage multiple screens, systems, and applications at once. Strong organizational and time management skills with the ability to prioritize competing responsibilities. Comfortable making both inbound and outbound calls in a high-volume environment. Proficiency with computers, email, and SMS communication platforms. Ability to quickly learn and adapt to new technology and software. Strong attention to detail and accuracy when entering and verifying information. Ability to work independently while contributing to a collaborative team environment. Previous customer service, call center, or client intake experience is preferred. Experience working in a legal, medical, or professional services environment is a plus. Familiarity with CRM or case management software is preferred.
