Clinical Program Specialist

Position Summary

The Clinical Program Manager is responsible for driving utilization, adoption, and long-term success within a designated portfolio of Cooler Heads Care accounts. Working in partnership with the Account Executive, this role builds strong relationships with physicians, infusion teams, nurse navigators, financial advisors, schedulers, and administrative staff to ensure scalp cooling is seamlessly integrated into clinical workflows. Through education, workflow optimization, and ongoing account engagement, the Clinical Program Manager helps maximize patient access while establishing high-performing scalp cooling programs.

Principal Responsibilities

Clinical Program Growth & Utilization

• Partner with Account Executives to develop and execute account success plans that increase scalp cooling utilization.
• Build strong relationships across clinical and administrative stakeholders to support long-term program growth.
• Identify barriers to patient enrollment and implement solutions that improve adoption and workflow efficiency.
• Conduct regular account reviews to assess utilization, share best practices, and identify growth opportunities.

Education & Workflow Optimization

• Educate physicians, nurses, infusion staff, financial counselors, schedulers, and patient navigators on scalp cooling best practices.
• Optimize clinic workflows to ensure eligible patients are consistently identified, educated, and offered scalp cooling.
• Provide onboarding and ongoing training for new and existing staff to support program consistency.
• Serve as the clinical resource for assigned accounts by providing virtual and onsite support as needed.

Program Visibility & Customer Engagement

• Ensure patient education and marketing materials are visible, current, and effectively integrated throughout the patient journey within existing accounts.
• Partner with the clinic teams to maximize awareness of the Amma program through educational resources, patient engagement tools, and internal communication.
• Collaborate with Marketing and Clinical teams to implement new educational initiatives and continuously improve the account and patient expereince.
• Share account feedback and field insights to enhance clinical resources, workflow, and future program development.

Field Engagement & Support

• Provide virtual and in-person support as needed, including training, installations, evaluations, and troubleshooting.
• Support clinical operation when necessary to ensure continuity of care and program success.

Essential Requirements

• Bachelor's degree or equivalent experience in a healthcare, life sciences, business, or related field.
• 1-3 years of experience in medical device, pharmaceutical, healthcare, clinical support, customer success, or B2B account management preferred.
• Demonstrated ability to build relationships and influence multiple stakeholders.
• Strong presentation, communication, organization, and problem-solving skills.
• Ability to analyze account performance and develop action plans that drive utilization.
• Self-motivated with excellent time management and the ability to manage multiple priorities.
• Willingness to travel approximately 40-60%.
• Full-time, exempt role in a remote, home office-based environment.
• Ability to provide both virtual and in-person education and account support.
• May be required to lift items weighing up to 30 lbs.
