Corporate Affairs & Communications (CA&C) is a global function responsible for protecting and enhancing American Express’ reputation and strengthening relationships with key stakeholders through communications, public affairs, and community engagement. Within CA&C, the Global Third-Party Lifecycle Management (TLM) Business Unit Lead team oversees the execution of the Third-Party Management program across the organization. The team partners with CA&C Third-Party Relationship Managers (TRMs), TLM Operations, Sourcing, and other enterprise teams to help ensure third-party engagements are managed in accordance with the Third-Party Management Policy (AEMP10) and applicable control, compliance, regulatory, and audit requirements. The CA&C Global TLM team is seeking an Analyst to support the day-to-day administration and execution of the TLM program. The role will have a strong operational focus, including procurement and supplier onboarding activities, purchase requisitions, invoice research, documentation management, data validation, and support for pre- and post-contract TLM requirements. The role will also provide opportunities to take greater ownership of third-party engagements, partner with stakeholders across CA&C, and contribute to program education, reporting, and process improvements. This role will support the CA&C Global TLM program by coordinating the administrative and operational activities required throughout the third-party lifecycle. The Analyst will report to the Manager of Third-Party Compliance and work closely with TRMs and cross-functional partners to ensure required requests, documentation, approvals, and TLM activities are completed accurately and within established timelines. Coverage of the roles and responsibilities includes the following: Submit and manage SmartBuy requests, Ariba payment requisitions, Oracle requisitions, IIQ requests, and Global Supply Management (GSM)/TLM Helpdesk tickets, as applicable. Monitor purchase requisition approval workflows and provide purchase order information to TRMs to support timely execution and payment of third-party engagements. Support the setup and onboarding of new suppliers through the New Vendor Online Form and related processes. Research and assist with the resolution of invoice and payment-related issues in partnership with TRMs and relevant teams. Maintain accurate third-party records and documentation across applicable systems and repositories. Review reports and third-party data to identify missing, incomplete, or inconsistent information and coordinate with business teams, Sourcing, and other stakeholders to resolve discrepancies. Research and validate information across third-party systems and submit or manage data change requests, as required. Maintain the CA&C preferred third-party list and monitor contract expiration dates to support proactive lifecycle management. Assist TRMs with gathering and completing required documentation and preparatory activities prior to TLM risk assessments. Support TRMs with pre- and post-contract TLM requirements, helping ensure required documentation, assessments, and deliverables are completed accurately and within established policy timelines. Coordinate with TLM Operations, Sourcing, TRMs, and other cross-functional teams to research and resolve third-party onboarding and lifecycle management issues. Partner with CA&C teams to help ensure TLM requirements are consistently followed, and appropriate documentation is maintained for third-party engagements. Support the execution of the CA&C TLM program and contribute to maintaining a strong control and compliance environment in accordance with Third-Party Management requirements. Help raise awareness and educate TRMs and other CA&C colleagues on TLM program requirements, processes, tools, and responsibilities. Support reporting and process improvement initiatives designed to increase the efficiency, accuracy, and effectiveness of the CA&C TLM program. Strong organizational and process management skills with the ability to manage multiple requests, priorities, and deadlines simultaneously. Excellent attention to detail and a demonstrated ability to maintain complete and accurate records and documentation. Strong analytical and problem-solving skills, including the ability to research issues, identify gaps or inconsistencies, and determine appropriate next steps. Ability to work with large volumes of data and information using an organized, accurate, and systematic approach. Strong verbal and written communication skills with the ability to communicate effectively with cross-functional stakeholders. Demonstrated interpersonal and collaboration skills with the ability to build and maintain effective working relationships across global and matrixed teams. Proven ability to adapt quickly to shifting priorities, multiple demands, ambiguity, and a fast-paced environment. Self-motivated and proactive, with the ability to work effectively both independently and collaboratively. Strong follow-through and a demonstrated ability to take ownership of assigned activities through completion. Proficiency in Microsoft Excel and PowerPoint. Bachelor’s degree or equivalent experience. Preferred qualifications: Experience in Third-Party Management, procurement, sourcing, operations, risk management, controls, compliance, or a related discipline preferred. Experience identifying or supporting business process improvements preferred.
