Contracts Administrator / Purchasing Supervisor Braya Renewable Fuels is seeking a Contracts Administrator / Purchasing Supervisor to join our team at the Come By Chance refinery. Reporting to the appropriate department leadership, the Contracts Administrator/Purchasing Supervisor will support the effective administration, coordination, and monitoring of contracts for goods and services required to support refinery operations, maintenance, projects, and other business activities. The successful candidate will work closely with Procurement, Operations, Maintenance, Engineering, Finance, contractors, and other internal stakeholders to ensure contracts are administered effectively, accurately, and in accordance with company requirements. Required Qualifications: Post-secondary education in Procurement, Supply Chain Management, Contract Management, or a related field. 3–5 years of experience in contract administration, procurement, supply chain, project administration, or a related role. Minimum 2 years supervisory experience. Experience working in an industrial, manufacturing, energy, oil and gas, or refinery environment is considered an asset. Experience administering service, maintenance, construction, or project-related contracts is preferred. Strong understanding of contract terms, documentation, and commercial processes. Experience reviewing invoices, purchase orders, change orders, and supporting documentation. Strong proficiency with Microsoft Office, particularly Excel and Word. Experience with procurement, or contract management systems is considered an asset. Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines. Excellent written and verbal communication skills. Strong attention to detail and demonstrated ability to maintain accurate records. Ability to work effectively with employees, contractors, vendors, and other stakeholders. Demonstrated ability to exercise sound judgment, maintain confidentiality, and handle sensitive contractual information. Primary Duties and Responsibilities: Administer contracts and procurement from award through completion, ensuring contractual requirements, deliverables, and timelines are monitored and maintained. Coordinate with internal stakeholders and contractors to support contract execution and ongoing administration. Monitor contract terms, including scope, schedules, pricing, payment terms, insurance, bonds, and other contractual requirements. Maintain accurate and up-to-date contract documentation, records, correspondence, and reporting. Review contractor invoices and supporting documentation to verify compliance with contract terms and approved work. Track contract commitments, expenditures, changes, and outstanding items. Assist with contract amendments, change orders, extensions, and close-out activities. Support the procurement process by coordinating documentation and ensuring contract information is accurately captured. Liaise with contractors and service providers regarding contractual requirements, documentation, and administrative matters. Identify and escalate potential contractual issues, discrepancies, delays, or risks to the appropriate stakeholders. Support contractor onboarding and ensure required documentation is received and maintained. Assist with contractor performance tracking and reporting. Prepare reports, summaries, and other documentation related to contract status and performance. Ensure contract records are maintained in accordance with company procedures and applicable requirements. Support audits and provide contract documentation as required. Promote a strong culture of safety, integrity, accountability, and compliance.
