Job Summary The Coordinator, Employee Experience is responsible for providing operational, administrative, and communication support for employee experience programs and initiatives. This role serves as a key liaison between employees, leaders, Human Resources, and external vendors to ensure the successful delivery, promotion, and continuous improvement of employee experience offerings. The Coordinator manages communications, program administration, reporting, vendor coordination, employee inquiries, training support, and content management while ensuring a positive employee experience and adherence to organizational policies, processes, and brand standards. The ideal candidate is proactive, detail-oriented, and passionate about creating consistent experiences for all employees at WM. They bring strong communication skills, a curious and collaborative mindset, and the ability to manage multiple priorities while understanding how their work contributes to broader organizational goals. II. Essential Duties and Responsibilities Administer employee experience programs and initiatives, ensuring efficient execution and ongoing support. Support in recognition program activities, including creating nomination forms, reviewing submissions, validating eligibility requirements, and coordinating program administration. Process access requests for employee experience platforms and systems. Create, maintain, and update Standard Operating Procedures (SOPs) for employee experience programs and processes. Update program FAQs and supporting documentation to ensure information remains accurate and accessible. Submit program enhancements and modifications for third-party assessment reviews and AI Governance Committee approvals in accordance with organizational policies and procedures. Coordinate scheduling activities, including managing multiple calendars, arranging meetings, and supporting event logistics as needed. Support employee experience shared mailboxes and serve as a first point of contact for employee and leader inquiries. Deliver exceptional customer service by responding to questions promptly, documenting inquiries and incidents, and escalating issues when appropriate. Work with external vendors and internal stakeholders to investigate and resolve employee concerns and program-related issues. draft, and distribute employee communications using established communication channels and audience distribution lists. Prepare and maintain communication distribution lists for employee experience campaigns and announcements. Design graphics, marketing materials, and promotional content that align with organizational brand standards. Support the development of presentation materials, including slide decks, talking points, and communication resources. Translate program materials, marketing content, and employee communications using approved translation tools to support diverse employee audiences Maintain and update SharePoint sites and employee experience webpages to ensure content accuracy, usability, branding consistency, and accessibility. Ensure internal content is organized, current, visually engaging, and easy for employees to navigate. Support the creation and distribution of surveys to gather employee feedback and measure program effectiveness. Coordinate vendor onboarding activities and communicate statements of work, program requirements, and expectations. Process and track invoices, ensuring timely submission, payment processing, and documentation. Monitor program expenditures and maintain records related to budgets and program spend. Generate reports from employee experience platforms and systems. Analyze program data and trends to identify opportunities for improvement Enter data into dashboards, presentations, and reports for leadership and stakeholders. Provide training and educational support to HR partners regarding employee experience programs, resources, enhancements, and process updates. Create training materials and resources to improve stakeholder understanding and program utilization. Support continuous improvement efforts by identifying opportunities to enhance processes, communications, and the employee experience. III. Qualifications - Must live and work in the U.S. A. Required Qualifications Associate's Degree (accredited) in Human Resources, Communications, Business Administration, Marketing, or similar area of study or in lieu of degree High School Diploma or GED (accredited) + 2 years of relevant work experience.
