Corporate Legal Secretary

On behalf of our client, a prestigious law firm based in Dublin, we are seeking an experienced Corporate Legal Secretary to join their team. Location: Dublin hybrid (flexibility WFH 1 day per week)

Salary: up to 50k DOE

Type of contract: Permanent

Key Responsibilities

• Provide comprehensive legal administrative support to the team;
• Manage the end-to-end file lifecycle using the firm's legal case management system;
• File management – importing guidelines, accessing documents, sending demand letters, and making sure files remain updated;
• Prepare materials and information for internal and external meetings;
• Client billing – coordinating the team's monthly billing process, ensuring invoices are issued on time and accurately;
• Diary management – making sure schedules are organised correctly and there are no conflicts with diaries;
• Liaise with internal and external stakeholders to understand and respond to their requirements;
• Maintain discretion and confidentiality when handling sensitive information;
• Ensure accuracy and speed in document production, coordinating with document specialists when required;
• Manage travel arrangements and detailed itineraries;
• Process time records and expense reports;
• Greet and liaise with clients and business visitors in a professional manner.

Requirements

• 3 to 5+ years of experience working as a Legal Secretary;
• Proven track record of managing a portfolio of senior stakeholders within the legal field;
• Advanced MS Office skills are essential; experience with legal case management systems is highly desirable;
• Meticulous attention to detail with superb verbal and written communication skills;
• A solution-focused mindset and a positive, "can-do" approach to work, even when navigating challenging or high-pressure situations;
• Exceptional time management skills with the ability to coordinate multiple competing tasks seamlessly.
