As a Creative Operations Specialist (internally titled Project Specialist) works in a fast paced, creative, and highly collaborative environment and reports to the Manager of the Internal Creative Agency. This individual is responsible for evaluating, co-ordinating, tracking and managing the streams of work associated with the Internal Creative Agency’s cross-functional project deliverables. They will ensure complex (medium to large-scale) strategic or operational projects flow effectively and efficiently through Marketing & Communication’s cross-functional working groups. This role will also lead continued process improvement and measure the work effort and resource utilization. How you will create impact: Work with project leads to establish and estimate timelines, priorities, contingencies, and tactical scope for multiple, complex (medium to large-scale) marketing and communications projects, both planned and unplanned. Lead and organize project management tasks and activities as assigned to ensure business value and efficiency. This includes monitoring scope, timelines, reviews/approvals, submissions, and identifying resource requirements. Support the development of, and distribute, communications and updates related to the project’s progress/status. Track work effort, status, and resource utilization across the Internal Creative Agency, in collaboration with project managers from across the organization, when required. Co-ordinate post-project reviews (debriefs) and document measures of success and areas of improvement. Identify problems, risks, and opportunities, adapt to changing priorities, and initiate solutions to continually improve workflow and processes. Make recommendations and suggestions for process improvement and follow up to ensure recommendations are applied. To join our team: Have completed college diploma in project management, business administration, advertising, marketing, communications, graphic arts, or equivalent work experience. Certification/designation in Project Management is an asset. 5+ years professional experience managing creative resources and coordinating projects and schedules within an advertising/marketing/design agency, commercial printer, or in-house agency. Depth of understanding in project management methodologies, processes, procedures, and best practices. Demonstrated experience managing multiple, complex projects simultaneously across teams, highly developed time management and organizational skills/strategies. Exercise sound and independent judgment and decision-making to ensure projects meet objectives and are completed on time and budget. Advanced skills in computer software and applications with strong formatting skills in Microsoft Office Suite. Experience of using relevant project management systems technologies and systems within the project management/resource field. Knowledge of the Adobe Creative Suite an asset. Strong communication skills, including written, verbal, active listening, comprehension, and facilitation. Ability to communicate at all levels internally and externally. Bilingual (French and English) is an asset. Can contribute to building a positive culture, building affirmative relationships with all levels of staff and management and maintain composure and professionalism during high stress situations or meetings/interactions. Expected salary $60,574.00 to $100,956.00 ​ The salary amount for the successful candidate is determined by Co-operators in its discretion and will vary depending on several criteria including but not limited to: local market conditions, geography and relevant job-related factors such as knowledge, skills, qualification, experience and education. ​​ Employees may also have the opportunity to participate in incentive programs and earn additional compensation tied to individual and/or business performance, or other business metrics.
