DATA & SYSTEMS COORDINATOR JOB DESCRIPTION We're looking for someone who loves building the systems and tools that make good work possible behind the scenes. You'll be the person who knows exactly how the project is doing, who spots a gap before it becomes a problem, and who builds the resources that help rural organizations succeed at bringing on peer support staff. If that's you, we'd love to hear from you. You'll report to the Learning & Development Director and help make sure Youth Era's rural peer workforce project runs on solid ground. You'll build the tools and criteria that help rural organizations get ready to bring on peer support staff, keep track of how the project is doing over time, and step in to support partner conversations. You'll work closely with the Rural Outreach & Training Consultant to map and prioritize rural partner organizations, track project outcomes, and build tools that help organizations successfully employ and retain Peer Support Specialists (PSS) and Youth Support Specialists (YSS). You'll also deliver hands-on technical assistance, workforce readiness support, onboarding, and implementation coaching directly to rural host sites, with a regional focus on Southern Oregon, based out of Grants Pass. This is a hybrid remote position. You'll travel to rural host sites across Southern and Frontier Oregon on a monthly basis with some overnight stays. CORE RESPONSIBILITIES: Systems & Tools Development Build and maintain organizational readiness criteria and technical assistance toolkit Create and organize digital materials, guides, and resources Update toolkit materials as the readiness model evolves Build and maintain tracking tools and templates used across the project Partner Mapping & Barrier Assessment Build and maintain a partner map across all priority counties Participate in barrier assessment conversations with rural organizations Serve as a point of contact for ongoing partner feedback and questions Document barrier patterns for the team Data Tracking & Quality Maintain monthly data on recruitment, organizational development, and retention Track certified peer employment status at 3, 6, and 9 months post-certification Analyze trends and patterns in project data to inform strategy and risk management Flag data gaps and support quarterly quality improvement reviews Project Coordination Coordinate timelines and deliverables across multiple internal stakeholders Maintain the reporting calendar and proactively flag upcoming deadlines Track outstanding action items from quarterly reviews through to completion Keep project documentation organized and accessible across the life of the grant Reporting & Sustainability Document rural peer compensation patterns for future advocacy Support required reporting Prepare data for recurring reviews and meetings General Expectations Attend weekly staff meetings Communicate regularly with your supervisor Track expenses and mileage using Youth Era-approved systems Record hours worked using Youth Era-approved systems Comply with current policies in the Youth Era Employee Handbook Take on other duties as needed REQUIREMENTS: Strong project management skills, including the ability to manage timelines, deliverables, and multiple moving parts at once Strong organizational and data management skills: comfortable building and maintaining tracking tools, spreadsheets, or databases The ability to take information and communicate it clearly to others Understanding of peer support or behavioral health workforce development Willingness to travel occasionally for partner mapping conversations, organizational site visits, or events A valid driver's license, reliable vehicle, and car insurance The ability to build trust and rapport with rural partner organizations Strong written and verbal communication skills A trauma-informed, strengths-based, culturally responsive, peer-centered approach to the work PROFESSIONAL COMPETENCIES: Strong attention to detail and follow-through Comfort coordinating across multiple roles and departments to keep deliverables on track The ability to spot patterns and flag problems preemptively A strong understanding of the peer role Respect for rural communities and local knowledge Confidence contributing to partner conversations Strong time management skills Comfort with computers, Google Workspace, virtual meeting tools, and data tracking systems PREFERRED QUALIFICATIONS: Experience with Medicaid billing pathways, Traditional Health Worker (THW) or peer certification requirements Experience with data or tracking systems such as HMIS, Fidelity EHR, or similar platforms Experience building training materials or organizational readiness toolkits Experience with grant reporting or outcome tracking Experience providing technical assistance, coaching, or consultation to community organizations
