Working/Functional Title EHS Office Administrator Position Summary The EHS Office Administrator serves as a key operational, administrative, and human resources partner within the Environmental Health and Safety department, helping ensure the effective delivery of services that support the safety and well-being of the university community. This position provides advanced administrative support to department leadership while managing a broad portfolio of HR activities, including recruitment, employee relations, workforce planning, onboarding, and employee lifecycle actions. The role analyzes operational and workforce data to support decision-making, improve service delivery, and ensure compliance with university policies and regulations. Success in this position requires exceptional judgment, discretion, responsiveness, and the ability to effectively manage competing priorities in a dynamic environment that supports campus health and safety initiatives. Salary The salary range for this position is fixed at $72,000 – $80,000. Final compensation will be determined based on relevant experience within this range. Remote Work Capability This position is based in East Lansing, Michigan, on the campus of Michigan State University. MSU supports flexible work arrangements, and this position is eligible for a hybrid work schedule (if desired). Due to the nature of the role, employees are required to work onsite 4 days per week. Flexible work arrangements are subject to supervisory approval and ongoing assessment to ensure they effectively support individual performance, team collaboration, service delivery, and departmental objectives. What You’ll Do Provide high-level administrative support to EHS leadership and staff, helping ensure efficient and effective department operations. Lead HR administrative functions including recruitment, onboarding, employee lifecycle actions, position updates, and compensation-related processes. Serve as a trusted resource to supervisors and employees by providing guidance on HR policies, procedures, and operational matters. Coordinate and support employee relations activities, disciplinary meetings, grievance hearings, and related documentation. Analyze workforce and operational data to identify trends, develop recommendations, and support strategic decision-making. Partner with department leadership on workforce planning, staffing strategies, and the effective utilization of positions and funding. Support financial and administrative operations, including initiating financial transactions, providing guidance on travel policies and procedures, coordinating event logistics, and managing departmental data, information and records. Coordinate committees, meetings, and events, including agenda preparation, meeting documentation, action item tracking, and follow-up activities. Review, prioritize, and summarize information and correspondence to support timely decision-making and effective communication. Minimum Requirements Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in human resources or a business-related field; three to five years of related and progressively more responsible or expansive work experience in office procedures and administration, including with human resources administration; experience with word processing, spreadsheet, and presentation software; or an equivalent combination of education and experience. Desired Qualifications Experience in a higher education and/or public service organization; experience in a unionized environment; demonstrated knowledge of human resources policies, procedures, and regulatory requirements, with the ability to apply HR best practices effectively at a unit level; proven capability to independently oversee and execute complex HR administration, ensuring accuracy, consistency, and high quality service delivery while managing competing priorities; strong consultative skills, including the ability to understand organizational structures and recommend practical HR solutions that support a department's purpose, priorities, and operational needs; exceptional communication and relationship building skills, with a track record of partnering effectively with leaders, supervisors, and staff across diverse functions and levels; highly organized, detail-oriented self-starter with strong initiative and follow through, capable of managing complex work, anticipating needs, and driving work forward with minimal direction.
