The Coordinator provides high-level administrative support to the EVP, Production and an additional executive within Universal Global Television (UGT). This role serves as a key partner in managing day-to-day priorities, ensuring seamless coordination across a fast-paced global production organization. The Coordinator regularly interacts with senior leaders, internal stakeholders, production teams, studio partners, network and platform stakeholders, talent representatives, and external producers, requiring exceptional judgment, discretion, and professionalism. Success in this role depends on the ability to anticipate needs, manage competing priorities, facilitate communication across stakeholders, and help drive efficient execution of business and production-related activities. Essential Responsibilities: Provide comprehensive administrative support UGT executives, including complex calendar management, travel coordination, expense processing, meeting scheduling, and general office administration. Manage and maintain production-related reports, trackers, and databases, including staffing submissions, production schedules, material deliveries, and studio-wide series coverage information. Coordinate and support meetings, conference calls, production run-throughs, table reads, and both virtual and in-person events; prepare materials, track action items, and maintain production status documentation. Proactively anticipate scheduling conflicts, production priorities, and administrative needs; identify solutions, resolve issues independently when appropriate, and escalate matters with sound judgment. Evaluate existing administrative processes and workflows, identifying opportunities to improve efficiency, streamline operations, and enhance team effectiveness. Serve as a key liaison across production teams, NBCUniversal departments, and external stakeholders, facilitating clear and timely communication and follow-up on critical initiatives. Support interactions with studio partners, networks, streaming platforms, executive producers, agencies, management companies, and other members of the creative community. Process and track contracts, deal memos, budgets, invoices, and related documentation; maintain accurate records and databases for staff, crew, and travel logistics. Coordinate the secure distribution of scripts, cuts, production materials, and other confidential information, ensuring compliance with company protocols and established procedures. Assist with onboarding, staffing logistics, and operational support for productions as needed. Build strong cross-functional relationships and contribute to a collaborative team environment, providing backup support and coverage for department coordinators and assistants as required. Handle highly sensitive and confidential information with discretion, professionalism, and sound judgment. Basic Requirements: Minimum 1 year working within studio, network, agency or production company in an assistant capacity.
