Equipment Administrator Local Job Description Reporting to the Equipment and Infrastructure Manager, the Equipment Administrator will ensure the physical research environment within Comparative Medicine and Animal Resources Centre’s (CMARC) animal facilities, are maintained to the highest possible standards of quality, meeting the regulatory requirements of the Canadian Council for Animal Care (CCAC) and other applicable agencies. As a central point of contact, the incumbent will coordinate with both internal and external service providers to facilitate smooth facility operations. The ideal candidate is service-oriented and supports the improvement of daily functions of CMARC’s service operations teams, contributing to a cost-effective, safe, and efficient research environment. Facility and Equipment Maintenance Administers CMARC’s annual facility maintenance program, ensuring compliance with regulatory standards and internal standard operating procedures. Oversees major equipment repairs and facility system maintenance. Troubleshoots basic equipment issues, plans repairs, and ensures timely communication and resolution. Performs minor repairs on facility equipment and supports the development of in-house maintenance procedures to reduce downtime and extend equipment lifespan. Maintains a physical inventory of consumables and replacement parts for facility equipment. Coordination and Stakeholder Engagement Serves as a liaison between McGill stakeholders (e.g. FMAS, BIMO, etc..), research clientele, and service providers for building issues, maintenance, and repairs. Develops collaborative, client-focused relationships within the research community and CMARC Operational Support Supports department leadership in identifying equipment and infrastructure needs, deficiencies, and improvement opportunities. Participates in special projects to improve space management, facility standards, and technical services. Oversees large equipment moves, facility modifications, and minor renovations. Asset and Financial Management Acts within established financial frameworks for procurement, expense tracking, and service provision. Performs duties related to departmental and University-wide asset management practices. Contributes to the development and implementation of facility equipment standards. Produces reports, maintains relevant data sets, and monitors key performance indicators (KPIs). Project and Renovation Support Assists in the planning and execution of facility construction and renovation projects. May be asked to work outside of regular hours, weekends or be on call. Qualifications/Requirements DEC III (preferably: Engineering Technology, Facility Management, Animal Sciences) 3 years of relevant experience Experience in equipment or facility maintenance—particularly within a research, laboratory, or animal care setting—will be considered as a strong asset. Other Attributes Hard Skills (Technical Knowledge and Expertise) Experience working within regulated environments; familiarity with Canadian Council on Animal Care (CCAC) standards is an asset. Knowledge of facility systems, research equipment maintenance, and repair practices (e.g., plumbing, electrical, HVAC, automation and controls). Basic understanding of procurement processes, asset tracking, and financial administration. Ability to read and interpret equipment manuals, technical drawings, and safety documentation. Familiarity with project coordination, construction, or renovation planning is an advantage. Proficient in using standard office productivity tools (e.g., Microsoft Excel, Word, Outlook). Soft Skills (Interpersonal and Behavioral Strengths) Strong organizational and coordination skills; able to manage multiple priorities and stakeholder relationships in a dynamic environment. Attention to details and a proactive attitude toward continuous improvement and preventive maintenance. Exceptional communication and interpersonal skills; able to work collaboratively with internal teams and external partners. Problem-solving and troubleshooting skills, with a hands-on approach to resolving technical issues. Service-oriented mindset with a commitment to supporting research excellence and regulatory compliance. Use of Personal Protective Equipment (PPE), including an N95 respirator, may be required depending on the assigned work area and tasks. Participation in OHP is mandatory for personnel in contact with non-human primates.
