Event Administrator (Remote)

Event Administration | Purchasing | E-commerce | Compliance

Location: Remote (India)

Employment Type: Full-time (Independent Contractor)

Salary: ₹10–20 LPA (depending on experience, skills and demonstrated ability)


About OpenRoads

OpenRoads is an Australian adventure events company that creates large-scale motorcycle rallies, tours and experiences across Australia.

As we continue to grow, we're looking for a highly organised and proactive Event Administrator to become an integral part of our team.

This is a hands-on role that combines event administration, purchasing, compliance, supplier coordination and operational project management. You'll work directly with our team to help ensure every event is planned and delivered to a high standard.

We're looking for someone who enjoys checklists, detail and getting tasks done. If you love organising projects, building spreadsheets, coordinating suppliers, sending out orders and making sure nothing gets missed, we'd love to hear from you.


About the Role

No two days are the same.

One day you might be preparing permit applications for an upcoming event, the next comparing supplier quotes, digitising motorcycle roadbooks, organising event logistics or helping improve our internal systems.

You'll play an important role in keeping our events organised and ensuring projects continue moving forward.

As the business grows, there will be opportunities to take on greater responsibility and help shape how our operations are run.


Key Responsibilities


Event Administration

  • Coordinate administrative tasks across multiple events.
  • Assist with event planning and operational logistics.
  • Maintain event documentation and planning schedules.
  • Coordinate with suppliers, venues, councils, stakeholders and volunteers
  • Ensure deadlines are met leading up to each event.


Purchasing & Supplier Management

  • Source products and obtain supplier quotations.
  • Compare pricing and prepare recommendations.
  • Place purchase orders and track deliveries.
  • Build and maintain supplier relationships.
  • Monitor inventory and purchasing requirements.


Compliance & Permits

  • Prepare permit, licence and compliance applications.
  • Liaise with councils, government agencies and landowners.
  • Maintain compliance documentation.
  • Track important deadlines and approvals.
  • Ensure all operational paperwork is accurate and complete.


E-commerce Management

  • Manage and maintain our online store.
  • Create and update products, pricing and product descriptions.
  • Monitor inventory levels and ensure stock availability is accurate.
  • Coordinate product launches and merchandise releases.
  • Process customer orders and resolve order enquiries.
  • Ensure product images, information and collections are up to date.
  • Work with suppliers and internal teams to ensure products are available and accurately represented online.


Data Management

  • Organise spreadsheets and business data.
  • Ensure information remains accurate and up to date.
  • Organise and maintain customer data


About You

We're looking for someone who:

  • Has excellent written and spoken English.
  • Has exceptional attention to detail.
  • Is analytical and great with data and spreadsheets
  • Is highly organised and enjoys creating structure.
  • Learns new software quickly.
  • Is proactive and enjoys solving problems.
  • Can manage multiple priorities without losing attention to detail.
  • Takes ownership of their work.
  • Is confident communicating professionally with suppliers and stakeholders.
  • Enjoys improving systems rather than simply following them.
  • Loves to get their hands dirty and jump into any task to help out


Skills & Experience

Experience in one or more of the following is highly regarded:

  • Event Administration
  • Event Coordination
  • Operations Coordination
  • Project Coordination
  • Procurement or Purchasing
  • Compliance Administration
  • Logistics
  • Business Administration


You should also be confident using:

  • Google Workspace
  • Microsoft Excel or Google Sheets
  • AI tools such as ChatGPT
  • Motorcycle knowledge is a bonus, but not required.


Contractor Arrangement

This position is offered as an independent contractor role.

Applicants must be able to invoice OpenRoads for their services and are responsible for their own local taxes, registrations and statutory obligations in their country of residence.
