This Executive Assistant role provides proactive executive and operational support to the Vice President, Technology Vendor Management (TVM), and an additional Vice President within Enterprise Platforms & Data and Technology Business Management. As a trusted business partner, you will anticipate priorities, enable enterprise-wide collaboration, and ensure leaders are equipped to focus on strategic outcomes. The successful candidate demonstrates enterprise thinking, builds trusted relationships, communicates clearly, exercises sound judgment, embraces AI-enabled ways of working, and consistently lives the Blue Box Values. Executive Support Manage complex executive calendars across multiple time zones, balancing competing priorities and optimizing executive time. Coordinate leadership meetings, governance forums, Town Halls, vendor meetings, and executive offsites. Screen and prioritize meeting requests, exercising sound judgment on behalf of executive leadership. Support strategic initiatives and special projects while anticipating leadership needs. Travel & Operations Coordinate complex domestic and international travel, itineraries, and meeting logistics. Process travel expenses and corporate card reconciliations in accordance with company policy. Support planning activities that improve operational efficiency and executive effectiveness. Communications & Stakeholder Management Serve as a trusted point of contact for internal and external stakeholders. Coordinate executive communications, presentations, and organizational updates. Build strong partnerships across Technology, Procurement, Finance, HR, Legal, Risk, and strategic technology partners to enable collaboration and business outcomes. Handle confidential and sensitive information with integrity, professionalism, and discretion. Continuous Improvement Leverage approved AI-enabled productivity tools and digital capabilities to improve efficiency, simplify administrative processes, and enhance executive support. Continuously identify opportunities to improve ways of working, streamline processes, and deliver an exceptional colleague and executive experience. Minimum Qualifications 5+ years supporting senior leaders, preferably Vice President level or above. Proven experience managing complex calendars, competing priorities, and executive logistics. Excellent organizational, planning, and communication skills. Demonstrated ability to exercise sound judgment, maintain confidentiality, and work independently in a fast-paced environment. Strong relationship-building skills with the ability to collaborate across a highly matrixed organization. Bachelor’s degree equivalent. Ability to work in a hybrid environment (minimum three days per week in the office). Preferred Qualifications Experience supporting Technology, Procurement, Financial Services, or another highly regulated environment. Advanced Microsoft Office skills (Outlook, PowerPoint, Excel, Word, Teams). Experience with SAP Concur or similar expense and travel management systems. Experience using approved AI-enabled productivity tools (e.g., Microsoft Copilot) to improve efficiency, organization, communications, and executive support. Demonstrated commitment to continuous learning, innovation, and improving the way work gets done.
