About The Role
The Executive Administrative Assistant at Gridiron Air plays a vital role in supporting the executive leadership team by providing comprehensive administrative assistance. This position involves managing complex calendars, coordinating meetings, preparing high-quality communications, and organizing events that facilitate smooth operational workflows. The role requires proactive engagement with internal and external stakeholders, ensuring effective communication and timely follow-up. The Executive Administrative Assistant will also oversee front office tasks, handle logistical arrangements for meetings and events, and contribute to maintaining a proactive safety culture by understanding and supporting Gridiron Air's Safety Management System (SMS). Adaptability, discretion, and a solutions-oriented mindset are essential, as the role may involve additional responsibilities aligned with shifting business priorities. The ideal candidate will demonstrate exceptional organizational skills, professionalism, and the ability to work independently in a fast-paced environment, whether remote or hybrid.
Qualifications
- 7+ years of experience as an Executive Assistant, with experience mentoring or leading other assistants preferred
- Advanced proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint), Teams, Zoom, and adaptability to new tools and systems
- High School Diploma required; Associate’s or Bachelor’s Degree preferred
- Proven experience managing complex calendars and coordinating travel for executive-level stakeholders across multiple time zones
- Strong written and verbal communication skills with a professional and confident presence
- Exceptional organizational and detail-oriented skills with strong project management capabilities
- Office management skills are a plus
- High emotional intelligence and discretion in handling sensitive information
- Proactive, self-motivated, and solutions-oriented mindset
- Ability to work independently in a fast-paced, remote, or hybrid environment
- Collaborative team player with empathy, resilience, and a positive attitude
Responsibilities
- Serve as the primary point of contact for the executive and manage communications with internal and external stakeholders
- Handle front office duties, including managing supplies, tracking expenses, and administrative support
- Manage complex calendars, coordinate meeting logistics, and ensure seamless scheduling across multiple stakeholders and time zones
- Organize and facilitate virtual and in-person meetings, including booking rooms, setting up AV equipment, arranging catering, and other logistical needs
- Draft, edit, and prepare high-quality executive communications, meeting agendas, presentations, summaries, and reports
- Capture key takeaways from senior meetings, ensuring follow-up and accountability
- Plan and execute events, leadership meetings, and client visits with attention to detail and professionalism
- Support the understanding and implementation of Gridiron Air’s Safety Management System (SMS), identifying safety hazards and raising concerns proactively
- Perform additional duties as assigned, aligned with business needs and company priorities
