Job Title: Executive Assistant II Job Description The Executive Assistant II supports the Forestry & Right-of-Way Services organization by providing comprehensive administrative, operational, and project support to department leadership. This role manages key business processes, departmental systems, documentation, and employee support activities while handling sensitive information with professionalism and discretion. The position is ideal for a highly organized professional who is comfortable working across multiple technology platforms and collaborating with operational and field-based teams. Responsibilities Process department expenses and maintain accurate records within Oracle Cloud ERP. Serve as the department timekeeper and assist with timekeeping corrections within Oracle Cloud HCM. Maintain and update workforce and callout-related data systems to support operational needs. Support strategic planning activities using Microsoft Teams, Planner, and related collaboration tools. Coordinate department and leadership meetings, including scheduling, room reservations, catering, and technology logistics. Manage calendar activities and meeting coordination for leadership and business support teams. Assist with document preparation, presentation formatting, report generation, and file management using Microsoft Office 365 applications. Organize and maintain SharePoint sites, records, and departmental documentation to ensure information is current and accessible. Attend meetings and prepare clear meeting notes, action items, and follow-up correspondence. Support onboarding activities for employees and contingent staff as an administrative resource for departmental leadership and business support teams. Handle sensitive and confidential information with discretion and professionalism. Provide ongoing administrative and operational support and perform additional duties as needed to assist the department. Essential Skills At least 2 years of experience as an Executive Assistant, Administrative Assistant, Coordinator, or in a similar support role. Proficiency with Microsoft Office 365 applications, including Microsoft Teams, Microsoft SharePoint, Microsoft Planner, Outlook, Word, Excel, and PowerPoint. Demonstrated experience providing executive administrative support in a dynamic environment. Strong organizational skills with the ability to manage complex schedules, documentation, and multiple concurrent tasks. Excellent written and verbal communication skills for interacting with leadership and cross-functional teams. Effective time-management skills with the ability to prioritize and manage multiple priorities in a fast-paced environment. Experience coordinating meetings, calendars, and business documentation for operational or business teams. High attention to detail and accuracy in handling data, documents, and records. Ability to maintain confidentiality and handle sensitive information with discretion. Comfort working with multiple technology platforms and collaboration tools. Additional Skills & Qualifications Experience with Oracle Cloud ERP for expense processing and record management. Experience with Oracle Cloud HCM, particularly timekeeping and corrections. Experience using Microsoft Copilot in a corporate environment. Experience in the utility, forestry, vegetation management, or right-of-way industry. Experience supporting operational or field-based organizations. Familiarity with workforce and callout-related data systems. Ability to support strategic planning activities and collaborate with operational leadership. Experience working in a hybrid work setting and collaborating with cross-functional business support teams. Work Environment This role operates in a hybrid work arrangement that combines remote work with on-site support as needed. Candidates should reside within approximately 90 minutes of the Atlanta headquarters to enable effective in-person collaboration. The position supports operational and business leadership teams in a collaborative environment within a stable utility organization, offering a long-term opportunity to contribute to forestry and right-of-way services. The work involves regular use of Microsoft Office 365, Oracle Cloud ERP, Oracle Cloud HCM, and modern collaboration tools, with a focus on supporting both office-based and field-oriented operations. Job Type & Location This is a Contract to Hire position based out of Atlanta, GA. Pay and Benefits The pay range for this position is $25.00 - $28.00/hr.
