ABOUT THE ROLE As the Executive Assistant for our Sales division, you will provide strategic and administrative support to the President and two Executive Vice Presidents of Legends Global Sales. We’re looking for an action-oriented doer: someone who is industrious, competent, resourceful, asks questions, shares ideas, and is focused on process improvement to find a way to get the job done. We’re looking for a strong written and verbal communicator and a great teammate with a positive outlook. You’ll need to be deadline-driven, organized, obsessed with details, and have the ability to develop strong relationships across the team and company. The role is hybrid, with a requirement of proximity to one of our corporate offices. You will report to the President of Sales and help serve the Sales leadership team. [Insert 2–4 sentence summary of the position, including scope, reporting line, and why the role matters.] WHAT YOU’LL DO (KEY RESPONSIBILITIES & OUTCOMES) Manage complex calendars for the President and two Executive Vice Presidents, including scheduling internal and external meetings, coordinating across time zones, and anticipating scheduling conflicts Arrange and manage all executive travel logistics, including flights, hotels, ground transportation, and itineraries, ensuring seamless and efficient travel experiences for supported executives Prepare, submit, and track expense reports for supported executives in a timely and accurate manner, ensuring compliance with company expense policies Plan and execute internal and external hospitality experiences, including team events, client entertainment, and leadership off-sites (virtual and in-person) Coordinate and fulfill gift requests for internal and external recipients, including developing and maintaining vendor relationships and managing associated budgets Draft, edit, and distribute meeting agendas to ensure leadership meetings are well-organized and productive; capture and follow up on key action items as needed Manage internal communications across the Sales division, including division updates, organizational announcements, employee recognition, and company culture initiatives Support and drive culture initiatives that foster team engagement, connection, and a positive team environment across the Sales division Facilitate the onboarding of new Sales team members by coordinating logistics, preparing materials, and serving as a resource to help new hires acclimate to the team and company culture Collaborate with internal Legends corporate departments (Marketing/Creative, IT, HR, Legal, Finance, etc.) while serving as a central communication stakeholder for the Sales division Other duties as assigned WHAT YOU BRING (QUALIFICATIONS & EXPERIENCE) 5+ years of experience in a professional environment, including executive-level administrative support, project management, event coordination, and sales & marketing Proven ability to support multiple senior executives simultaneously in a fast-paced environment Excellent organizational and time-management skills with exceptional attention to detail Strong written and verbal communication skills, with experience drafting professional communications and executive-facing materials Ability to manage a high level of detail across multiple concurrent projects while consistently meeting deadlines Resourceful problem-solver with an entrepreneurial spirit and a proactive, solutions-oriented approach Ability to work collaboratively within a team environment, offering assistance and support to colleagues whenever necessary Strong Microsoft Office skills (Outlook, PowerPoint, Excel, Word) and familiarity with expense management tools. Experience with project management platforms is a plus Knowledge of the sports and entertainment industry is a benefit but not required WORK ENVIRONMENT & TRAVEL The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
