About the role We’re looking for an experienced Executive Assistant to join Grayling on a 9-month maternity cover contract, working part-time across four days a week. Working closely with the Group CEO of Accordience and Global CEO of Grayling, as well as the UK CEO of Grayling, you’ll play a key role in keeping busy schedules, meetings and priorities running smoothly. This is a varied, fast-paced role with plenty of opportunity to work with senior stakeholders and colleagues across our UK and international teams. You’ll take ownership of complex diary and travel management, coordinate and support Board and Executive meetings, prepare documents and communications, and help ensure day-to-day priorities are managed effectively. You’ll be someone who can anticipate what’s needed, stay one step ahead and adapt quickly when plans change. We’re looking for someone who is highly organised, proactive and comfortable working autonomously. You’ll have excellent attention to detail, strong communication skills and the confidence to build trusted relationships at all levels of the business. You’ll also regularly work with sensitive and confidential information, so sound judgement and discretion are essential. The day to day Managing complex diaries and meetings for the Group CEO and Global CEO, liaising with senior stakeholders and external contacts Supporting the UK CEO and acting as a trusted point of contact across the business Managing priorities and requests, anticipating needs and keeping busy schedules running smoothly Coordinating UK and international travel and itineraries, including visas where required Arranging hospitality, entertainment and restaurant bookings Managing expenses and reconciling company credit cards Preparing and updating presentations, reports, agendas, minutes and other business documents Coordinating Executive Board, Accordience Board and Grayling Global Board meetings, including meeting packs and minutes Supporting UK and global company updates Working with the Office Manager on the annual PRCA CMS audit and key company events Building strong relationships across Grayling, Accordience and our international network What will give you the edge Previous experience supporting senior executives in an Executive Assistant, Personal Assistant or similar role Excellent organisation and diary management skills, with the ability to manage changing priorities Confidence working with senior stakeholders at all levels Excellent written and verbal communication skills with strong attention to detail Experience coordinating complex UK and international travel Sound judgement and discretion when handling confidential information A proactive approach with strong problem-solving and prioritisation skills The ability to work autonomously while collaborating effectively with others Strong relationship-building skills and a professional, approachable manner Confidence using Microsoft 365, including Outlook, PowerPoint, Word and Excel Experience supporting senior-level or Board meetings, including preparing materials and taking minutes A flexible, adaptable and can-do approach Excellent prioritisation skills and the ability to remain calm and organised when managing competing demands Confidence working autonomously while also collaborating effectively with colleagues across the business Strong relationship-building skills and a professional, approachable manner Confidence using Microsoft 365, including Outlook, PowerPoint, Word and Excel Experience preparing meeting materials, taking accurate minutes and supporting senior-level or Board meetings A flexible, adaptable and can-do approach Our promises to you Flexible working arrangements, including hybrid working, a work from anywhere policy, flexi time and 4pm Friday finishes 25 days’ holiday, increasing by one day every year up to 30 days Additional day of leave on your birthday & gifted time off over Christmas A monthly cash allowance to use on the benefits most important to you - you'll have the freedom to choose how you enjoy it!
