Target Compensation: Base Salary + Lucrative Performance Bonus

This is not a traditional, passive administrative support role—we are hiring a true
Executive Assistant & Growth Partner. Sitting at the absolute center of our business, you will act as the operational engine that fills the Founder’s calendar with qualified appointments, optimizes the client journey, and protects executive focus. Tasks come with the territory, but what sets this seat apart is
absolute ownership. You do not just complete a task and hand it back; you take full responsibility for the business outcome behind it and the follow-through that makes it stick.
What You’ll Own
- Lead Generation & Appointment Booking (The Core Growth Engine)
- Social Prospecting & Outreach: Execute our proven outreach framework across the Founder’s LinkedIn and Instagram accounts to generate warm interest and book qualified appointments directly onto his calendar.
- Pipeline Persistence: Own all outreach and follow-up sequences so no lead ever goes cold. You are not closing the deal—you are filling the calendar with high-converting conversations. This primary metric directly drives your monthly performance bonus.
- Social Media & Marketing Support: Support content scheduling and brand presence across social channels to feed qualified interest into the top of the funnel, tracking engagement directly to booked meetings.
- Executive Operations, Time Protection & Decisive Problem Solving
- Time Guardrail: Filter incoming communications, safeguard high-value strategic hours, and manage the Founder’s schedule to prevent burnout and friction.
- Task Architecture: Capture, organize, prioritize, and execute incoming tasks from multiple channels (email, voice notes, Slack/WhatsApp), ensuring nothing slips through the cracks.
- Proactive Framework: Apply our strict Issue → Options → Recommendation model. Before bringing a problem to the Founder, analyze the situation, develop options, and bring a ready-to-execute path forward.
- Client Experience (Write-Up to Issued)
- Client Journey Management: Guide financial clients smoothly from initial application write-up to policy completion.
- Case Tracking: Help conduct data-gathering touchpoints, track pending underwriting cases, execute systematic follow-ups, and liaise with insurance carriers to keep processing moving without friction.
- Agent Onboarding & Licensing Support
- Recruit Guidance: Walk new agents end-to-end through their professional licensing journey—supporting exam preparation schedules and collaborating with the Business Development Support Team.
- Milestone Acceleration: Track agent progress, remove administrative bottlenecks, and keep candidates moving steadily toward active production.
- Metrics, Dashboards & Automation
- Reporting Architecture: Build, update, and maintain clean performance dashboards inside Notion, Google Sheets, or our CRM to track recruiting, licensing, pipeline velocity, and team policy production.
- AI & Workflow Leverage: Utilize and help implement modern tools (including ChatGPT, Claude, Make.com, or Zapier) to automate routine operational tasks and scale internal workflows.
Compensation & Bonus Structure
Role
This position is built for a hungry operator motivated by measurable outcomes. In addition to a solid base pay, this role includes a
monthly performance bonus of up to $1,000 USD, tied directly to three key impact areas:
- New Agents & Clients Closed: Conversions stemming from leads you prospect and book onto the calendar.
- Licensing Milestones: Agents you successfully guide through key stages of their licensing journey.
- Policies Issued: Total team policy production across our licensed agent network.
Required Skills & Qualifications
- Professional Experience: 10+ years of progressive experience as an Executive Assistant, ideally supporting a Founder, high-velocity sales team, or recruiting operation.
- Lead Generation Experience: Proven track record in appointment setting, social media prospecting (LinkedIn/Instagram), or client-facing lead management.
- Exceptional Communication & On-Camera Presence: Fluent, highly articulate spoken and written English. You must look and sound warm, confident, and professional during video interactions (Zoom) and client touchpoints.
- Technical Stack Fluency: Proficient in Google Workspace, Notion (or modern CRMs), Canva, Zoom, and social media management platforms.
- Schedule Alignment: Full availability to work the required EST schedule, including Friday and Saturday afternoon shifts.
- High Ownership Mindset: Calm under pressure, structured, and capable of managing competing operational priorities independently without hand-holding.
Preferred (Nice-to-Have) Qualifications
- Hands-on experience or strong interest in AI tools (ChatGPT, Claude) and automation platforms (Make.com, Zapier, n8n, or Lindy AI).
- Prior experience in the financial services, insurance, or sales/recruiting industries.

- Frictionless Onboarding: Clients move smoothly from application to issued policy with zero escalations, and new agents hit their licensing milestones on schedule.
- Autonomous Execution: Systems run cleanly without requiring constant supervision or reminder loops.
What This Role Is NOT
- It is not a basic admin or clerical data-entry job.
- It is not a seat for someone who waits to be told what to do next.
- It is not for a passive "task completer" who needs hand-holding or pre-sorted work.
