Executive Assistant
Location: Remote, Latin America
Working Hours: 9:00 AM - 5:00 PM MST
Employment Type: Full-Time 40hrs/week
Compensation: $1,800 - $2,400 USD/month, depending on experience
About The Company
A growing real estate investment and development company managing multiple active development projects is seeking a highly organized and proactive Executive Assistant to provide direct support to leadership.
Role Overview
The Executive Assistant will serve as a trusted extension of the executive, managing day-to-day administrative priorities, communications, scheduling, follow-ups, project information, and meeting support.
This is not a purely administrative role. The ideal candidate will be comfortable taking ownership, anticipating needs, communicating professionally with clients and external stakeholders, and using technology and AI tools to improve efficiency.
Key Responsibilities
Executive Support
- Manage and organize the executive's email inbox, prioritizing messages and follow-ups
- Manage the executive's calendar, meetings, and scheduling
- Track and follow up with clients, home buyers, team members, and other stakeholders
- Monitor outstanding tasks and ensure commitments are followed through
- Answer inbound calls from clients, partners, vendors, and external organizations
- Handle sensitive and confidential information with discretion
- Review assignments from other team members - excel sheets, presentations..etc
- Participate in all necessary meetings and provide detailed notes
- Manage bank accounts and bills payable with the bookkeeping team
- Manage budgets for projects
Meeting & Communication Support
- Attend meetings on behalf of the executive when required
- Take detailed notes and prepare concise meeting summaries
- Capture key decisions, action items, and follow-ups
- Ensure important action items are tracked through completion
- Represent the executive professionally in communications and meetings
Real Estate & Project Support
- Maintain and update web pages associated with development projects
- Keep project information organized and current
- Assist with administrative coordination across active development projects
- Coordinate information and follow-ups between leadership and project stakeholders
Financial & Administrative Support
- Assist with basic bookkeeping and financial administration
- Use QuickBooks for routine administrative and reporting tasks
- Maintain accurate records and documentation
- Organize information required for internal review and decision-making
Presentations & Business Support
- Create and format professional PowerPoint presentations
- Organize research, information, and data into executive-ready materials
- Assist with business research and preparation of documents as needed
AI & Technology
- Use Claude and other AI tools for research, writing, summarization, organization, and workflow support
- Identify opportunities to use AI to improve administrative efficiency
- Quickly learn and adopt new software and technology
Hard Skills
- 3+ years of experience as an Executive Assistant, Senior Administrative Assistant, Operations Coordinator, or similar role
- Demonstrated experience supporting an executive or senior leader
- Strong email and calendar management experience
- Working knowledge of QuickBooks
- Strong PowerPoint skills
- Experience managing or updating websites/web pages
- Strong proficiency with Google Workspace and/or Microsoft Office
- Comfortable using Claude, ChatGPT, and other AI tools
- Excellent written and verbal English
- Strong meeting documentation and follow-up skills
- Comfortable handling professional phone communications

About The Ideal Candidate
The ideal candidate is an experienced Executive Assistant who can function as a true extension of the executive, rather than simply completing assigned administrative tasks.
They should be confident managing a busy inbox and calendar while simultaneously coordinating follow-ups, supporting development projects, preparing presentations, and keeping stakeholders informed.
Strong candidates will bring a combination of executive support, financial administration, technology fluency, and polished client communication.
LATAM candidates with experience supporting U.S.-based executives and businesses are strongly preferred.
