The role in one sentence
You multiply two founders — clearing their inboxes, calendars, and to-do lists of everything that doesn’t require them — so the CEO can focus on making great games and the COO can focus on building a great business.
Why this role matters
We are a $2.5M board game company run by two founders who each wear a dozen hats. One leads the creative side; while the other leads the business side. Every hour they spend scheduling meetings, chasing paperwork, or answering routine emails is an hour not spent on the work only they can do.
That’s where you come in. You’re a shared executive assistant for both founders — the person who takes things off their plates, keeps them pointed at the most important things, and quietly makes the whole company run smoother. Over time, the best version of this role earns more and more trust and takes on more and more: what starts as calendar management becomes owning entire workflows end-to-end.
We’re looking for someone who treats "that’s not my job" as a phrase that doesn’t exist, who spots the thing that needs doing before anyone asks, and who gets genuine satisfaction from making other people more effective.
What you’ll own
- Email & calendar management
- Triage both founders’ inboxes: answer what you can, draft what you can’t, flag only what truly needs them
- Own their calendars — schedule, reschedule, protect focus time, and prep them for what’s next
- Keep commitments from slipping: follow-ups happen, deadlines get met, nothing falls through the cracks
- Customer service
- Support our player-facing inbox in Zendesk: fast, warm, human responses
- Resolve routine issues (order status, replacements, shipping questions) and route the hard ones to the right person
- Turn repeat questions into FAQs, templates, and macros so the same problem never costs us twice
- Documentation & SOPs
- Document tasks and processes as you learn them — if you did it twice, it should be written down
- Build and maintain our SOP library in Asana so any task can be handed off cleanly
- Keep documentation current as tools and processes change
- Vendors, partners & compliance
- Manage transactional vendor and partner relationships: quotes, invoices, scheduling, routine correspondence
- Keep compliance documentation (safety testing, customs, licensing paperwork) organized, current, and easy to find
- Dropbox organization
- Organize and operationalize our Dropbox: clear structure, consistent naming, no more "which version is this?"
- Build the habits and rules that keep it clean after you’ve cleaned it
- Process & automation
- Continuously improve the systems behind your work — then automate them
- Use AI tools (we use Claude daily) to draft, summarize, organize, and eliminate busywork
- Ruthlessly hunt down repetitive work — for yourself and for both founders
- Ad hoc
- Research, errands-at-a-distance, event logistics, spreadsheet wrangling — whatever the week requires

Asana, Claude (AI), Zendesk, Cin7, Amazon Seller Central, Helium 10, Excel / Google Sheets, Dropbox, Meta Business Manager, and Adobe Illustrator & Photoshop.

Our SOP library is real: the tasks you own are documented well enough that someone new could pick them up tomorrow

You’ve taken on things we didn’t know we could delegate

3 years previous experience supporting executives or founders directly
Customer service experience (Zendesk or similar)
Familiarity with e-commerce operations (Amazon, Shopify, inventory tools)
Experience using AI tools to work faster
