About The Role
We are seeking an experienced and strategic Executive Assistant to support our Design leadership team, specifically working closely with Vice Presidents and their respective pillars. This full-time role offers an exciting opportunity to be an integral part of our fast-paced, innovative environment. The successful candidate will manage complex calendars, coordinate meetings and travel, and serve as a trusted partner to senior leaders, ensuring operational efficiency and effective communication across teams. The role demands proactive problem-solving, process optimization, and the ability to operate with discretion and professionalism. Located in our US hubs in San Francisco or New York City, or remotely within the United States, this position requires working part-time hours aligned with our organizational needs.
Qualifications
- 5+ years of executive support experience in a fast-paced technology environment
- Exceptional organizational and time-management skills
- Strong written and verbal communication abilities
- Proficiency in Google Suite products (Gmail, Calendar, Drive, Docs, Sheets)
- Ability to anticipate needs and act independently with minimal supervision
- Experience in building workflows and leveraging AI to improve operational efficiency
- Discretion and confidentiality in handling sensitive information
- Strategic thinking and problem-solving capabilities
- Ability to collaborate effectively across cross-functional teams
- Interest or familiarity with Figma’s products and design ecosystem (preferred but not required)
- Experience supporting technical or AI-focused teams (preferred)
Responsibilities
- Proactively manage the calendars, meetings, and travel arrangements for VPs and leadership teams
- Handle expense reports, purchase orders, and internal tooling with attention to company policies
- Partner with operations to organize large-scale meetings, including agenda setting, content tracking, and note-taking
- Identify opportunities to optimize workflows and enhance team productivity
- Serve as a strategic thought partner to design leaders, contributing to long-term planning and process improvements
- Coordinate cross-functional projects and internal events to ensure alignment and timely execution
- Foster a positive culture by connecting team members across different hubs and remote locations
- Provide ongoing support to ensure the smooth operation of the design organization
- Anticipate potential risks and communicate effectively with stakeholders
