About the Position The Office of Governor Tina Kotek is seeking experienced and highly organized professional Executive Assistants to provide confidential executive and operational support to the Governor and senior advisors in their leadership and management of state agencies, boards, and commissions. This position is integral to the administration’s success, ensuring the coordination of internal and external communications, supporting policy initiatives, and facilitating the implementation of the Governors priorities. These priorities affect nearly every resident in Oregon and are critical to the state’s governance and operational success. The Executive Assistant may be assigned to any of the following key policy areas: General Counsel/Legal Team Behavior Health Education Executive Appointments Equity and Racial Justice Federal Affairs Health and Human Services Housing and Homelessness Natural Resources Operations Public Affairs and Communications Public Safety Regional Solutions Resilience/Emergency Management Wildfire Transportation Tribal Affairs Workforce, Economic Development, and Higher Education Duties & Responsibilities: Manage multiple calendars, track and respond to scheduling requests, coordinate meeting logistics, and prepare agendas and documentation for policy-related meetings. Draft, edit, and finalize correspondence, reports and presentations to reflect the Governor’s priorities and strategic goals. Conduct thorough research and analysis on statewide issues. Prepare detailed findings and recommendations to inform discussions and guide policy staff. Facilitate the flow of information between the Governor’s Office, state agencies, boards, commissions, legislative branch, and external stakeholders. Monitor and track legislative bills introduced in the legislature related to assigned policy areas to ensure awareness of developments that impact the Governor’s priorities. Assist policy staff in executing initiatives by coordinating resources and monitoring progress toward objectives. Manage the process for timely policy advisor review of policy area enrolled bills, ensuring advisors have all necessary background information, context, and supporting materials. What We Are Looking For Minimum Qualifications: Four years of staff-level experience providing administrative support to management. The experience must include technical or analytical duties in the management of program goals and objectives; performing program or project planning; preparing, monitoring, or controlling budgets; or performing research and providing analytical information and/or recommendations used in management decision making. A Bachelor's degree in Business Administration, Management, Public Administration or a closely-related field may be substituted for up to two years of the required experience. Desired Attributes: Government Experience: Experience working in federal, state, or local government. Communication Skills: Strong oral and written communication with diverse audiences, including those impacted by structural oppression, policymakers, agency leaders, advocates or other partners. Policy Application: Experience applying rules, policies, and procedures to specific work situations. Organization & Coordination: Ability to organize, coordinate, and manage complex details. Judgment & Confidentiality: Demonstrated experience in exercising good judgment, discretion, and confidentiality. Technical Proficiency: Experience using business tools, including Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams). Presentation Skills: Skill in presenting reports and recommendations. Research & Team Collaboration: Knowledge of organizational research and analysis methods, with the ability to build responsive relationships, work as a team member, and demonstrate time urgency, anticipation skills, and a strong personal touch. Working Conditions Work is primarily performed in a professional office setting with frequent daily computer and office‑equipment use. Consistent and reliable attendance is essential to meet operational and statutory deadlines and may require extra hours on evenings, weekends and holidays during heavy workload periods, especially during legislative session.
