We are hiring a Personal Assistant to support a Project Management Director (effectively the COO on the technical side) at a mid-sized organization serving the built environment and regulatory compliance sectors. This is a fully remote role, based on New York business hours.
What you'll do:
You will be the director's right hand for all technical project decisions and regulatory interactions. Your work is threefold: gatekeeping requests to ensure they are framed correctly before execution, managing complex multi-step workflows, and drafting careful, diplomatic written communication to city agencies and external stakeholders. You will chase down blockers, verify completeness before things go out the door, and turn messy recurring tasks into documented, repeatable processes.
A concrete example: when a regulator requests a supporting letter by Friday, you do not just draft and send it. You first ask clarifying questions — what outcome are we trying to achieve? What does the regulator need to accept this the first time? — then structure the letter so it gets accepted and avoids a costly 20-day adverse response cycle.
What we need:
You think before you execute. You ask 'why' and 'what could go wrong' before acting. You have a genuine, meticulous eye for detail — you verify things systematically, not passively. You can organize and follow through on complex, overlapping tasks without constant direction. You write clear, structured English (C1 level minimum) and can handle diplomatic correspondence with regulators and external partners. You work best for a quiet, thoughtful manager who will not give you constant feedback or loud direction — you read what is needed and supply it.
Nice to have:
Advanced Excel, familiarity with Outlook and Wrike, comfort with AI tools (ChatGPT, Claude), experience reading technical documents (codes, permits, regulations), project management or agile background. None of these are required. Tools are trainable; reasoning and temperament are not.
What this is not:
You are not a scheduler or inbox manager. You are not someone who jumps to 'yes' without understanding context. You are not looking for a manager who will spell out every step. Sector experience (NYC Department of Buildings, zoning, expediting) is not required and not weighted.
