Role Overview
We are seeking a highly organized, proactive, and resourceful Executive Assistant to the CEO to provide dedicated support to a dynamic executive at Job Duck. In this role, you will serve as a trusted partner responsible for managing priorities, protecting the CEO's time, and ensuring daily operations run efficiently. You will play a critical role in coordinating schedules, managing communications, facilitating meetings, conducting research, and supporting both strategic and administrative initiatives. The ideal candidate thrives in a fast-paced environment, anticipates needs before they arise, and demonstrates exceptional professionalism, discretion, and sound judgment. Schedule:
Monday to Friday from 8:30 AM to 5:30 PM EST (USA)
Your Responsibilities Will Include but Are Not Limited To:
- Updating and maintaining the CEO's task lists, following up on pending action items.
- Supporting the preparation and coordination of L10 meetings, check-in meetings, office hours, and other recurring leadership meetings.
- Announcing, coordinating, and attending office hours as required.
- Anticipating needs, identifying potential issues, and implementing proactive solutions.
- Making payments and completing administrative transactions as directed.
- Maintaining strict confidentiality while handling sensitive business and personal information.
- Managing and maintaining the CEO's calendar, ensuring priorities are aligned and scheduling conflicts are proactively resolved.
- Coordinating and scheduling meetings, appointments, and events.
- Preparing, organizing, and distributing the CEO's daily agenda.
- Attending meetings on behalf of or alongside the CEO when required.
- Preparing meeting notes and maintaining accurate records of discussions and action items.
- Answering and placing phone calls as needed.
- Protecting the CEO's time by managing interruptions, prioritizing commitments, and maintaining focus on key objectives.
- Reviewing and monitoring the CEO's and the firm's email accounts, identifying and escalating important matters.
- Sending meeting reminders five minutes before scheduled meetings.
- Coordinating travel arrangements, itineraries, and related logistics.
- Assisting with personal and professional tasks that support the CEO's priorities.
- Conducting research and gathering information to support decision-making and ongoing initiatives.
- Liaising with internal teams to ensure projects, priorities, and commitments remain organized and on track
What We’re Looking For:
- 2+ years of experience as an Executive Assistant, Administrative Assistant, or similar administrative support role
- Experience supporting a senior executive, founder, or leadership team
- Experience coordinating travel arrangements and managing complex calendars
- Spanish fluency is a must
- Software & Tools: Microsoft Office Suite, Zoom, Microsoft Teams, Calendly
- Excellent written and verbal communication skills •
- Strong organizational and time management abilities
- Ability to prioritize multiple tasks in a fast paced, fast changing environment
- Ability to work independently with little to no supervision
- High level of confidentiality and professional judgment
- Comfortable performing research and handling executive support task
- Strong attention to detail and follow through
