We are a fast-growing, sustainable, subscription-based grocery service, helping families save thousands of dollars on their bills, supporting local farmers, fighting food waste, donating to families facing food insecurity, and building a better planet in the process. About the role Odd Bunch is scaling across Canada, Australia and now into the US – a company moving this quickly runs when the small things are handled well. The Executive Assistant role keeps the CEO’s world organized so the day-to-day doesn’t slow the bigger picture down. You’ll own the calendar, inbox, travel, and follow-through that keeps things moving, prepare the research and materials behind key decisions, and be a trusted point of contact across the team. This role suits a generalist who likes range: one day you’re untangling a travel and meeting puzzle across three time zones, and the next you’re pulling together a deck, chasing down a partner, or sitting in on a conversation about a new product or a new market. You get to taste a bit of everything the business is doing, and you work closely enough with the CEO that it turns into a real mentorship seat, a close-up view of how a bootstrapped company gets built, with growing trust and ownership over time. We care more about drive and the hunger to make things better than about years on a resume. The rhythm is remote and mostly asynchronous, and honest that a founder’s schedule isn’t a 9-to-5, with real give and take on both sides. What you’ll own The CEO’s time and information flow: Own his calendar, inbox, and travel as one system. Shape his days around the work that matters most, decide what reaches him and what doesn’t, coordinate multi-leg international travel across Canada, the US, and Australia, and stay ahead of conflicts and prep needs before they land on him. F ollow-through and execution: Turn his intentions into tracked commitments and push them to completion across the team, partners, and outside advisors. Keep projects on track, and flag problems early rather than letting them grow. Research, briefings, and materials: Pull the research, write the summaries, and build the decks that turn a messy question into a decision the CEO can make quickly. Draft outreach and correspondence, and handle it start to finish when something needs to go out. Communications and relationships: Be a trusted point of contact for the CEO, inside the company and out. Handle what comes in with good judgment, and help manage the relationships and partnerships that matter to the business. Discretion and judgment: Hold sensitive financial, legal, and personal matters in confidence. Know what to quietly handle, what to elevate, and what to keep off his plate. Systems and leverage: Build efficient systems, and use AI where it helps, so one you can stay on top of everything the founder has going on. Leave things better set up than how you found them. What you’ll dive into The Executive Assistant role sits in the middle of a fast-growing company, so you won’t just support the work at surface level, you’ll be right in the heart of it: New and innovative products: From our Pantry line expansion to wholesale and other verticals and product launches, you’ll support how they come to life, launch, and iterate. Our tech and tools: The apps, data, and internal systems the business runs on, which you’ll watch evolve and help progress. Global expansion: Help with the groundwork behind entering new markets, from research and diligence to the logistics of getting operations off the ground, starting with bolstering our existing Australia presence and soon to be US going live in the fall. Partnerships that matter: Take part in building new relationships from the first conversation, and help manage & grow our corporate partnerships that move the business forward How a company like this gets built: The financing, real estate, strategy, and hiring calls behind turning a bootstrapped mission-driven business into a global sustainable enterprise What you bring A few years of experience behind you - though we care more about who you are than how long you’ve been at it. Time in a fast-paced environment is a plus, and if you don’t have it yet - but you pick things up fast and like working out how to do things better - that counts just as much. You take pride in being organized and dependable, and you can shift gears quickly, from the smallest detail to the bigger picture, without dropping the thread. High EQ: You read people and situations well, you tend to see what’s needed before it’s said, and you’ll quickly pick up how the CEO thinks and operates. You’re reliable, the way good operators are. You own what you take on from start to finish, raise problems early, and don’t let things slip through the cracks. You can be trusted with sensitive information (financial, legal, and personal), and you’ve got the judgment to know what needs the CEO’s attention and what doesn’t. You’re comfortable with AI tools and at home in the everyday stack (Gmail, Google Calendar, Slack). A remote, mostly asynchronous rhythm that sometimes runs past standard hours suits you.
