Export/Logistics Manager – all regions.


We are an international, fast-growing distributor of food & drink, supplying premium UK and EU brands to supermarkets across the CIS region (ex-Soviet Union). As part of our continued growth, we are looking for a proactive, detail-oriented and commercially aware Manager to support our Head of Export and play a key role within the Export Department.


This is a hands-on position, sitting between coordination and leadership. You will take ownership of day-to-day export operations, helping to manage workload, improve processes, and ensure orders are processed accurately, efficiently, and in full compliance with all required documentation. While you will oversee administrative workflows, this is not a purely desk-based role — you will be actively communicating with clients, suppliers, and logistics partners, picking up the phone, resolving issues, and keeping shipments moving.


Working closely with the Head of Department, you will act as a trusted right-hand, helping to prioritise tasks, spot inefficiencies, and drive improvements across the function.


Qualifications (essential - please only apply if you meet all the criteria):

  • Have minimum 2yrs experience in Export or Logistics of FMCG and a proven record of strong administrative skills (multi-tasking and flexibility is essential).
  • Be PC conversant, Windows office – Word, Excel mainly, Outlook
  • Have own laptop, internet connection, phone and be able to learn new software and use CRM.
  • Fluent Russian and English are essential: both excellent spoken and written.
  • Must have visa free access to be able to travel to EU countries to exhibitions and conferences.
  • Must be set up as self-employed to invoice on a consultancy basis.


Desirable:

  • Higher Education in Management, Business or Equivalent.
  • Contract Management Knowledge


Responsibilities:

  • Help prepare, verify, and process all orders including export-related documents (eg invoices, packing lists in Excel and via CRM).
  • Ensure documentation is accurate and compliant with international shipping regulations and customs requirements.
  • Maintain records of all export shipments and ensure timely filing and organization.
  • Help co-ordinate with freight forwarders, shipping lines, and logistics companies to arrange and monitor shipments to ensure timely delivery and resolve any issues related to delays, damage, or discrepancies.
  • Ensure compliance with the terms of sales contracts, including Incoterms and payment methods.
  • Assist with the preparation of required documents for customs clearance, ensuring compliance with local and international laws.
  • Work closely with sales, production, and warehouse teams to ensure products are available, packed, and ready for shipment.
  • Help to ensure all licenses, permits, and approvals are in place for export transactions.
  • Work with CRM, be open to learning new software.
  • Make an action plan for a week ahead and communicate to your head of dept.
  • Follow and achieve KPI’s.
  • Liaise within all teams to achieve best speed on decision making.
  • Attend company’s meetings to discuss weekly progress and problems.
  • Be willing to travel – 6-8 trips per year depending on the needs of the business - to visit clients at least once a year, or more if required.

  • Be able to effectively plan, work according to the goals, systemically hitting targets.
  • Enjoy administration, and taking ownership of technical tasks from start to end.


Work conditions:

  • Remote & flexible working hours.
  • Full time, Mon-Fri, 8 hours per day, 40 hours a week.
