Please log in to verify your internal candidate status. Location - This role is hybrid with a mix of remote and in-person work at North Campus Edmonton. Reporting to the Faculty Operations Manager, this position is responsible for providing general administrative support to the Faculty of Education. This includes general administration, executive assistant support, information management, communications, promotion, travel coordination, event coordination, program support, special projects, and other duties as required. The person in this position will be committed to continuous improvement, and ensure that the students, staff, faculty, and faculty leadership experience the level of service excellence that defines the University of Alberta. Please note that the person in this position is the first point of contact for the Faculty of Education Administrative Office and will be physically located in an open office environment so that they can greet and respond to instructors and staff who come to the office. This position is currently a hybrid position with 4 days working on-site and 1 day working from home. The working arrangement is subject to changes based on operational requirements. Providing general administrative support for the Faculty of Education Dean’s Office Administration Team (e.g., compiling data, preparing documents and reports, maintaining records, etc…). Providing EA support for leaders in the Faculty of Education (e.g., correspondence, managing calendars, organizing meetings, booking rooms, etc…). Providing program support (e.g., compiling data, updating manuals, maintaining information repositories, supporting accreditation activities, etc…). Managing academic hires for the Faculty of Education (e.g., coordinating committees, booking travel, arranging visits and interviews, gathering confidential feedback, etc…) Supporting special projects undertaken by the Dean’s Office Administrative Team (e.g., centralizing faculty operational tasks, establishing and revising processes, organizing special events, etc…). Other duties as assigned. Required qualifications: A Diploma in Business Administration or Management (or equivalent). Experience providing executive assistant support, preferably to an academic leader (Dean, Director, Chair, etc...). Experience providing administrative support to an academic unit (Department, Program, Dean's Office, etc...). Preferred qualifications: A post-secondary degree is preferred. Experience coordinating academic recruitment is preferred. Experience drafting correspondence, communications, and reports is preferred. Experience planning special events is considered an asset. The successful candidate will demonstrate the following: Knowledge of the post-secondary environment, preferably within the context of the University of Alberta. Excellent tact and professionalism to facilitate negotiation, conflict resolution, and handle highly confidential matters. Ability to prioritize competing tasks and effectively manage time and workload to meet deadlines. Demonstrated ability to adapt and pivot to rapidly changing demands. Excellent organizational skills and attention to detail. Excellent problem-solving and critical thinking skills. Excellent oral and written communication skills with many types of stakeholders from a wide variety of social and cultural backgrounds. Excellent interpersonal skills including strong ability to demonstrate professionalism, confidentiality, and diplomacy. Ability to self-start and anticipate the needs of the Faculty of Education and its staff. Ability to work both independently with minimal guidance, and collaboratively with others. Ability to develop and maintain positive, professional, collaborative working relationships with all stakeholders at all organizational levels. Strong administrative and communication technology skills, including advanced knowledge of the entire Office suite of tools, Google suite of tools, social media, web content management systems, and others. A commitment to continuous improvement and service excellence. A demonstrated understanding of the importance of practices to ensure access, foster community connections and increase belonging.
