Job Overview We are seeking a detail-oriented Remote Finance & Administration Support Specialist to manage day-to-day financial, administrative, and operational tasks for a busy manufacturing business. This role is responsible for Accounts Payable (AP), Accounts Receivable (AR), bank and account reconciliations, payroll support, virtual office administration, supplier and customer communications, document management, and operational coordination while maintaining exceptional accuracy and professionalism during Australian business hours. Key Responsibilities Process and code supplier invoices and credit notes for Accounts Payable (AP) . Prepare and issue customer tax invoices, send payment reminders, and follow up on outstanding balances for Accounts Receivable (AR) . Perform daily and monthly bank, supplier, and customer account reconciliations. Maintain accurate digital financial records and audit support documentation. Assist with payroll administration, including timesheet tracking and payroll data entry. Answer inbound calls through a cloud-based VOIP phone system and manage shared email inboxes professionally. Organize and maintain cloud-based document management systems (Google Drive, SharePoint, or Dropbox). Support manufacturing operations by assisting with purchase orders, order tracking, and supplier coordination. Provide administrative support for workplace safety (WHS), compliance records, and employee documentation. Requirements Qualifications Minimum 3 years of hands-on experience in Accounts Payable (AP), Accounts Receivable (AR), and Bank Reconciliations . At least 1 year of experience supporting Australian clients or businesses , with knowledge of GST, Australian invoice formats, and business communication. Minimum 2 years of experience using accounting software such as Xero, MYOB, or QuickBooks , along with ERP systems. Advanced English communication skills (C1/C2), both written and verbal. Available to work fixed Australian Eastern Standard/Daylight Time (AEST/AEDT) business hours. Dedicated remote work setup with a private home office, dual monitors, noise-canceling headset, reliable internet (minimum 25 Mbps), and UPS/power backup. Experience with ECI M1 ERP is highly desirable. Previous experience in a manufacturing, engineering, or industrial environment is an advantage.
