Job Summary: The Fleet Services Manager is responsible for enterprise-wide fleet management, including vehicle lifecycle oversight from acquisition through retirement. This role oversees fleet safety, telematics, compliance, driver monitoring, and incident response, while ensuring efficient, compliant, and cost-effective fleet operations across all business units. Essential Duties & Responsibilities: Develop and execute annual fleet acquisition, utilization, and safety strategies aligned with operational needs Coordinate procurement, delivery, assignment, and replacement of fleet assets Partner with operations and engineering on a recurring basis to proactively assess fleet demand and optimize asset deployment Monitor and analyze telematics data to identify risk trends, coach drivers, and promote safe driving behavior Administer defensive driving programs, including onboarding and recurring training, and ensure timely completion and compliance Manage fuel card programs, including issuance, replacement, and monitoring of usage for irregularities or potential misuse Lead all vehicle-related incident reporting and investigations, including coordination with internal stakeholders and insurance carriers Oversee claims from reporting through resolution, including repair tracking and cost verification Coordinate vehicle maintenance and repair approvals through designated systems Ensure timely completion of preventative maintenance and regulatory requirements, including registration and compliance obligations Collaborate with Finance to forecast fleet-related capital expenditures and provide monthly reporting on acquisitions, retirements, and operating costs This position requires minimal travel, some expected as needed for professional enrichment or company functions. May also report to in-field jobsites to assess vehicle needs/type of vehicle Contribute to a positive, inclusive, and respectful workplace culture, free from behaviors that undermine morale, productivity, or organizational values Uphold the organization’s standards of integrity, accountability, and respect in all duties and interactions Adhere to all company policies, procedures, and applicable laws and regulation Other duties as assigned or required to meet the business needs Qualifications Knowledge, Skills and Abilities: Strong working knowledge of fleet operations, safety practices, and asset lifecycle management Advanced organizational and analytical skills, with the ability to identify trends, assess risk, and implement practical solutions Ability to manage sensitive situations professionally, including incident response and driver-related issues Strong interpersonal skills with the ability to influence and collaborate across departments Excellent written and verbal communication skills, with clear, concise, and professional delivery Must be well organized, responsible, extremely focused, and productive with the ability to follow precise instructions High level of accountability, attention to detail, and ability to manage multiple priorities Proficiency in Microsoft Office and ability to work with fleet management, telematics, and reporting systems Required Education and Experience: High School Diploma Two years in logistic, warehousing or fleet management experience Proven ability to exercise discretion in the handling of sensitive and/or confidential materials and information Proven leadership experience Additional Qualifications, Certifications, etc.: Possession of a driver’s license Possession or ability to obtain a passport Why RailPros?
