HEALTHCARE ANIMAL RESCUE ADMINISTRATOR

Position Summary
We are seeking a compassionate, highly organized, and mission-driven Healthcare Animal Rescue Administrator to oversee administrative operations supporting veterinary healthcare, animal rescue programs, rehabilitation services, and international welfare initiatives and to work with legal teams and governmental authorities. This role coordinates medical records (not a big part), rescue logistics, volunteer programs, compliance, fundraising support, and partnerships across multiple international locations but mostly in Sweden or Finland or Nordic EU countries. We are a global strategy animal rescuing volunteer team who rescues cats and dogs (or other pet-friendly animals, not tigers). So your role could be considered volunteer-based to begin with while you are choosing your own area of expertise and converting it into a real working opportunity with you own salary expectations.

Key Responsibilities
Rescue Operations
Coordinate animal rescue and rehabilitation activities.
Schedule veterinary appointments and emergency care.
Manage intake, adoption, foster, and release documentation.
Maintain rescue databases and medical histories.
Coordinate transportation and international animal transfers.
Healthcare Administration
Organize veterinary medical records.
Track vaccinations, medications, treatments, and follow-up care.
Ensure compliance with animal health regulations.
Support disease prevention and biosecurity protocols.
Maintain healthcare reporting systems.
Administrative Management
Manage calendars and operational schedules.
Prepare reports for leadership and donors.
Maintain confidential records.
Coordinate meetings across multiple time zones.
Process invoices, purchase orders, and operational budgets.
Volunteer & Staff Coordination
Recruit and onboard volunteers.
Schedule training sessions.
Maintain volunteer databases.
Coordinate staff communications.
Support employee wellbeing initiatives.
Partnerships & Community Outreach
Liaise with veterinary clinics and hospitals.
Coordinate with government agencies.
Support fundraising campaigns.
Build partnerships with shelters and rescue organizations.
Assist with grant applications and reporting.
Compliance
Ensure adherence to:
Animal welfare legislation
Veterinary regulations
Health and safety standards
International animal transport requirements
Data privacy regulations (including GDPR where applicable)
Required Qualifications
Bachelor's degree or :
Healthcare Administration
Veterinary Administration
Public Health
Animal Science
Law or Legal Reforms
Business Administration
Related field 3–5 years of experience in Healthcare administration, Veterinary practice management, Animal rescue organizations, Nonprofit administration
Preferred Qualifications
Experience working internationally.
Knowledge of animal rescue operations.
Veterinary clinic administration experience.
Project management certification.
Experience with nonprofit fundraising.
Multilingual abilities (English required; Swedish, Finnish, Bahasa Indonesia, or other languages are a plus).
Would be nice if you were a vegan- or vegetarian person or knew how to relate to vegan people.
