We Do Consulting Differently Coordinates and manages the collection, tracking, and organization of medical records and supporting documentation for medical billing and coding chart audits, ensuring accuracy, completeness, and compliance with regulatory requirements. Supports audit operations by maintaining audit tracking systems, facilitating communication among stakeholders, safeguarding protected health information (PHI), and helping ensure audit projects are completed efficiently and on schedule. Duties and Responsibilities Manage the intake, organization, and tracking of medical records and supporting documentation required for medical billing and coding chart audits. Review incoming documentation for completeness, accuracy, legibility, and compliance with audit requirements. Identify missing, incomplete, or inconsistent documentation and coordinate follow-up requests with providers, clinics, and internal stakeholders. Maintain audit tracking logs and workflow tools to monitor documentation status, audit progress, and completion timelines. Serve as a liaison between audit staff, business development team, and engagement leads to facilitate timely receipt of required records. Enter audit-related data into chart audit databases and tracking systems with a high degree of accuracy and attention to detail. Update audit records, case statuses, and documentation inventories throughout the audit lifecycle. Perform quality checks on data entry to ensure consistency, completeness, and adherence to established procedures. Generate routine reports on documentation receipt rates, audit progress, outstanding requests, and project status. Maintain organized electronic and physical filing systems for audit documentation in accordance with company policies and regulatory requirements. Assist with preparation of audit reports and supporting materials for coding and clinical audit staff. Monitor turnaround times and escalate delays or barriers that may impact audit deadlines. Support process improvement initiatives by identifying workflow efficiencies and opportunities to improve documentation management. Ensure confidentiality and secure handling of protected health information (PHI) in compliance with HIPAA and organizational standards. Perform other administrative and operational support duties as assigned. Required Qualifications Bachelor’s degree or equivalent experience 1-3 years of experience in administrative support, healthcare operations, medical records management, data entry, or a related field. Strong proficiency in Microsoft Excel, Word, Outlook, and database applications. Excellent organizational and time management skills with the ability to manage multiple priorities and deadlines. Exceptional attention to detail and commitment to maintaining data accuracy. Strong written and verbal communication skills. Ability to handle sensitive and confidential information with professionalism and discretion. Knowledge of HIPAA requirements and healthcare documentation practices. Preferred Qualifications Experience working with medical records, healthcare documentation, medical billing, coding, auditing, revenue cycle operations, or related healthcare functions. Experience using document management systems, audit tracking tools, or healthcare databases. Experience supporting audit, compliance, or quality assurance processes. Demonstrated ability to coordinate documentation requests and collaborate with multiple stakeholders in a healthcare environment.
